  • If you have access to timesheets only, the Timesheets page opens automatically.
  • If you have access to both project management and timesheets, select between the two activities by clicking the Menu at the top left of the page.

Navigation
  • Provides access to Classic

  • When you first click the Classic PPM menu option, a Classic PPM session opens up in a new tab.
    Subsequent clicks to the Classic PPM option refreshes the Classic PPM session in the existing tab.

    • If you have not activated the new Timesheets solution under System Options in Classic

      , the Timesheets navigation icon does not appear, even if you have the

The
New User Experience
is not enabled by default in Classic
CA PPM
. Therefore, no default navigation is immediately available to show the

Administrators can provide users with a way to navigate from Classic
CA PPM

Security for Project Managers
To allow the project manager access to the
New User Experience
, assign the following access rights to them in Classic
CA PPM
:
  • Project - Create from Template (Global) or Project - Create
  • Project - View (Instance) to the templates that they can access to create projects
  • Resource - Soft Book - All (Global)  
    We recommend the Resource - Soft Book - All right because it allows the project manager to staff any active resources and roles to the project team. You can use the Resource - Soft Book rights at the instance or OBS level. Verify that you explicitly assign soft book rights for all of the resources and roles to the project manager ahead of time. Otherwise, you will encounter errors when creating the project and populating the project team.
  • Status Report - Create (Global)
  • Status Report - Edit - All (Global)
The user who creates the project is automatically granted the Project - Manager (Auto) access right.
To allow a project manager to create a project using a template that contains financial plans, and to copy the plans to Classic
CA PPM
project pages, assign the following access rights:
  • Cost Plan - Edit
  • Benefit Plan - Edit
  • Budget Plan - Edit
  • The existing auto-access rights that are applied in Classic
    CA PPM
    work the same as in previous releases.
  • Users that have the Project - Task Management right can view project tasks, but cannot edit project tasks.
 
Security for Team Members
The following access rights are automatically assigned to team members when they are added to a project in the
New User Experience
:
  • Projects - Navigate (Global)
  • Project - View Tasks (Instance)
  • Project - Task Management (Instance). This new access right allows team members to create, edit, delete, and add assignments to tasks.
Use one of the following options to prevent the auto-provisioning of access rights to your team members:
  • Staff your project team in Classic
    CA PPM
    .
  • Staff your team members within a project template in Classic
    CA PPM
    . When you create a project in the
    New User Experience
    using the template, the team members are not automatically assigned the required access rights. Manually assign the access rights to each team member in Classic
    CA PPM
    .
When a team member is removed from the project, the instance rights that the system auto-applied are removed. The global rights that were auto-applied are still applied to the user because the global rights may apply for another project. 
When a team member is added as a participant to a project, the team member gets view access to the project. If the project management administration setting Automatically Add Staff Member As Investment Participant is set to Never, you must manually add the
Project - View
instance right to the team member. If the setting is one of the following options, verify that the team member is hard-booked and the request status is approved for the team member to get view access to the project:
  • When Hard-Booked
  • When Request Status is Approved
If you assign the team member in Classic
CA PPM
, none of the new auto-rights are assigned to the team member.
Project Creation
Auto-numbering for the Investment ID attribute on the Project object must be enabled in Classic
CA PPM
to create projects in the
New User Experience
. If you try to create a project without enabling auto-numbering, an error message appears. See

  • You can only create a project using an existing project template that is created in Classic

Project Team
  • Defining allocations is not available.
  • As the project manager, only you can add team members to a project.
  • When adding team members to a project, you can see all active resources. To add a new member to the team, verify that you have soft booking access rights for the new resource. Without these rights, you cannot add the resource (team member) to the team. Adding the team member automatically results in a soft allocation of the resource to the project. A resource manager or another user with sufficient rights can change the booking from soft to hard in Classic PPM.

Roles
  • You cannot manually add roles or perform role replacements in the
    New User Experience
    .
  • If you have a project template where roles are assigned to the team, and you then create a project from this template in the
    New User Experience
    , the roles are not visible under the project Detail tab. The roles that are assigned to the team are only visible in Classic
    CA PPM
    .
  • If you have a project template where roles are assigned to the tasks, and you then create a project from this template in the
    New User Experience
    , the roles are still assigned to the tasks in the new project. Role replacement is not available. You can manually add a resource (project team member) to a task to match a role and also manually add the same amount of ETC. After you add a resource, you can then delete the corresponding role from the task.
If you create a project in the
New User Experience
and the project template has roles that are assigned to the team members, the roles that are assigned to the team are visible in Classic
CA PPM
.
Tasks and Assignments
 
  • Project managers and team members can create, update, and delete tasks, milestones, and phases.
  • Project managers and team members can assign team members to tasks.
  • Project managers can assign non-team members to tasks provided the following conditions are true:
    • The Assignment Pool setting for the project is set to Resource Pool in Classic 
      CA PPM
    • The project manager has soft booking rights for the resource.
  • A two-level task hierarchy is supported; phases which contain tasks. You can drag-and-drop the tasks anywhere in the hierarchy. See New User Experience: Manage the Project Lifecycle for more information. You can also drag-and-drop collapsed phases.
  • If the project administration setting
    Allow Effort Task Creation
    is selected in Classic
    CA PPM
    , effort tasks are visible in the task list in the
    New User Experience
    , but are read-only.
  • Only two task statuses (Open and Completed) are supported. The task status of Not Started and Started that are set in Classic
    CA PPM
    are considered as Open in the
    New User Experience
    .
  • A project "To Do" can only be created for tasks.
    • Create up to 25 "To Do" records for each task.
    • There is no XOG support for "To Dos".
  • Setting the task status to Completed automatically sets the ETC to zero (0) and % Complete to 100 percent.
  • A project "To Do" is not visible in Classic
    CA PPM
    .
  • After team members are assigned to tasks in the
    New User Experience
    , their allocations are evenly distributed across all of their assignments. You can see their allocations in Classic

Financial Plans
  • The attributes under Financial Summary are mapped to the following financial attributes on the project Financial Summary page in Classic

    • Capital Budget = Budgeted Capital Cost
    • Operating Budget = Budgeted Operating Cost
    • Total Budget = Budgeted Cost
  • The following rules apply to the editing of the Financial Summary attributes:
    • You can edit the attributes in the 
      New User Experience
      , provided the Budget equals Planned option is not selected in Classic
      CA PPM
      . Otherwise the attributes are read-only.
      To allow users to edit the Financial Summary attributes in the
      New User Experience
      , verify that the Budget equals Planned option is unselected for the project template in Classic
      CA PPM
      . This ensures that when you create a project in the
      New User Experience
      , the Financial Summary attributes can be edited.
    • If cost plans are created for the project in Classic
      CA PPM
      , the Financial Summary attributes are read-only in the
      New User Experience
      .

Project Status Reports
  • Install the PMO Accelerator add-in in Classic
    CA PPM
    to use real-time status reports in the
    New User Experience

  • Project managers can create and edit status reports. When the project manager accesses the Status tab for the first time after creating a project, the system creates the initial status report instance for the project manager.

  • Processes are not visible. 
  • Process locks, which are user interface locks, do not show any lock icons letting users know that the attribute is locked.
  • When values are saved, the process lock is enforced and displays an error message letting the user know that the attribute is locked.
  • If you create a process on the Project object and you configure it to auto-start, the process still auto-starts depending on your auto-start conditions.
  • Notifications are sent to users. However, you can only view them in Classic
    CA PPM
    .
  • The links in the email notifications point to Classic
    CA PPM
    and not to the
    New User Experience
    .
Studio
The following Studio functionality is not available in the
New User Experience
:
  • Custom objects, sub objects, and attributes
  • Display mapping
  • Visual icon indicators for required and read-only attributes

  • Any Studio view level settings such as Required, Enter Once, Hidden, and so forth

Setting partitions is not available. If you use partitions, the default partition that is defined under Account Settings is used when creating project and tasks.

Timesheet Configuration
  • Timesheet columns are based on the configuration in Classic
    CA PPM
    under Administration, Project Management, Timesheet Options.
  • To get the best and most effective display of your timesheets grids,  select the following timesheet columns in the listed order in Classic
    CA PPM
    :
    • Description
    • Code field (optional)
    • Code field (optional)
    • Daily Actuals
    • Total
    • ETC
  • The list of available columns for selection in the Default Content and Layout section are reduced. 
  • The following fields remain available, but do not have any effect on the new timesheet layout:
    • Investment
    • Investment ID
    • Phase
Code fields refer to the Charge Code, Input Type code, User Value 1, and User Value 2 attributes. You can optionally configure up to two Code fields for the timesheet grid display. Regardless of which Code fields you select, all four Code fields display on the Details tab in the fly-out that appears for any timesheet line item.
  • The
    CA PPM
    administrator configures the timesheet column display under Administration, Project Management, Timesheet Options.
  • The Allow Posting of Future Timesheets option has moved from Administration, Project Management, Settings to Administration, Project Management, Timesheet Options.
Timesheet Entry and Submission
As a team member, you enter time for your work only on My Timesheet. You can complete your timesheet, submit your timesheet, and can return unapproved timesheets. You can also adjust posted timesheets.
Verify the following requirements for entering time and submitting timesheets:
  • You have either of the following access rights:
    •  Timesheet – Navigate (Global) and Resource - Enter Time (Instance) for creating your own timesheet.
    • Timesheets - Edit All (Global) which includes access rights for creating your own timesheet.
  • The following options are set for you in Classic
    CA PPM
    (Home, Resource Management, Resources, Settings):
    • Trackmode = PPM
    • Open for Time Entry = Selected
    • Active status = Selected
  • You can enter pending ETC values in the timesheet ETC field. The project manager can manage accepting or rejecting pending ETC values in the task assignments in Classic
    CA PPM
    .
  • You cannot enter indirect time or time for incidents. Indirect time or incidents timesheets that are previously created in Classic
    CA PPM
    do not appear.

You enter work for My Timesheet and on timesheets for other people when you have Time Entry access rights. The ability to enter time for other people is not available in the
New User Experience

Create Timesheet Options
You can independently select each of the following options when creating a timesheet: 
  • Copy previous time period with or without hours
The option is available if the team member has previously created a timesheet. Hours entered on non-working days are not copied over.
  • Add tasks assigned to me
The option is available if the team member has current task assignments.
  • Add Work
    The option is available if the team member is creating a timesheet for the first time. You can select tasks for all investments for which you are a team member.

When you change the Populate or Copy options, there is no effect on the timesheet functionality in the
New User Experience
.
Timesheet Add Work Option
The option shows all tasks for all active investments where you are a team member. You can use compound filtering to shorten the task list. You can see and can send a notification to your project manager for work items that are not enabled for time entry. The list of tasks includes tasks with a status of Completed. You can filter the list of tasks using the following fields:
  • Investment Manager
  • Investment Type
  • Task Assignment. All Tasks, Tasks assigned to me, or Tasks not assigned to me
  • Work (Investment) Name or ID
  • Task Name
  • Phase Name
  • Task Start Date
  • Task Finish Date

Timesheet Visual Gauges
Timesheet users can see the following gauges:
  • Tracked Time. Total hours (or days) booked on My Timesheet over total hours (or days) of available work time.
  • % of Project Time.  The percentage of the number of hours (or days) booked on a Project investment type versus the number of hours (or days) booked on other investment types.

Timesheet Review and Approval
As a resource manager, you can review submitted timesheet details and either approve or return the timesheets for others. The options are available when you have the following timesheet approval access rights:
  • Timesheet – Navigate (Global) access right for reviewing and approving time.
  • Timesheets – Approve All (Global) or Resource – Approve Time (Instance) access rights. The access rights ensure that the resources for which you are the resource manager show up in the My Team list on the Review and Approval page.

You can review the details for open, returned, submitted, approved, and posted timesheet for other people. The options are available when you have Timesheet Approval access rights.
 
My Team
As a resource manager, you have a team of active resources reporting to you. You are responsible for reviewing and approving the submitted timesheets for the resources. The resources are referred to as My Team (that is, the team of active resources that report to you).
The default view shows a list of submitted timesheets for My Team or the active resources for which you are the resource manager. You have the access rights to approve the timesheets for My Team. You can filter and show the team members for which you can approve timesheets.

  • As a timesheet approver, you can perform the following actions on timesheets in different statuses: 
    • Open: Send reminders to the team members.
    • Submitted: Review detailed timesheets and approve or return the submitted timesheets to the team members.
    • Approved: Return the approved timesheets to the team members.
    • Posted: Create copies of the posted timesheets as adjustments. Team members can then update and resubmit the timesheets for processing.
    • Returned: Send reminders to the team members.
When there is an Adjustment timesheet, the adjustment appears on a separate row from the previously posted timesheet that is being adjusted. The timesheet approver can only view the details for a submitted adjustment timesheet. Past adjusted timesheet details are not available for viewing by the timesheet approver.  The timesheet owner can view the details for all past adjusted timesheets.
  • Timesheet approvers can see a visual gauge indicating Total Hours booked over Total Hours of available work time. The visual gauge appears for each team member for which you have Timesheet Approval access rights.

A known issue exists where the Timesheet Review and Approval page only shows the time in hours (instead of days) if your administrator has set up the time entry display unit as Days in Classic

and can lock the timesheet status field. On the My Timesheet page, the APPROVE and RETURN buttons still appear on the submitted timesheet with the locked status field. However, when you as the team member click either button to approve or return the timesheet, the following message appears:
CMN-0015 Attribute 'prstatus' was locked and cannot be changed.
The action item owner can change the timesheet status using a process action item in Classic
CA PPM
.

When a Timesheet status is locked by a process, you as a team member see the following message from within the Timesheet Details view. You do not see the APPROVE or RETURN Buttons.
TMA-0118: This timesheet's status has been locked by the process engine. It can only be changed by an action item.
 
A process for timesheets that has been defined and activated in Classic
CA PPM
