Studio
The following Studio functionality is not available in the

  • Custom objects, sub objects, and attributes

    The status colors on the project status reports and the project tiles (for example, green for On Track or red for At Risk) are based on the display mapping configuration for the Overall Status attribute of the Status Report object. See

    for details on configuring display mappings for attributes.
  • Visual icon indicators for required and read-only attributes

Resource Management
The following resource management attributes are only available in the
New User Experience
:
  • Forecast Rate at the resource or role level. The new field is available on the Resource object to define the default forecast hourly rate for a resource. The resource manager can see this field in the resource details on the Resources to Investments view. With Resource - Edit rights, the resource manager can edit this value for a resource. The value impacts the data in the Forecast column on the view.  You can also update the forecast hourly rate value for a resource using the Resource XOG object.
    To define a default forecast hourly rate for a role in the role details, update the value on the role using the Resource XOG. The value is not available on the new or Classic
    CA PPM
    UI.
  • Forecast Rate at the allocation level. The new field is available on the Team object to define an investment-specific forecast hourly rate for a resource or role. The resource manager can see this field in the investment team allocation details on the Investments to Resources view.  With the appropriate booking rights on the resource and view or edit rights on the investment, the resource manager can edit this value. The value impacts the data in the Forecast column on the view.
  • Resource Manager. The new field is available on the Team object to define a requested resource manager. The resource manager can see this field in the investment team allocation details on the Requests view.  This field is used for labor roles as a means to identify the resource manager that should fulfill the staffing request.
The following object attributes are not visible in Classic

Studio:
  • Forecast Rate on the Resource object
  • Forecast Rate on the Team object

Partitions
Setting partitions is not available. If you use partitions, the default partition that is defined under Account Settings is used when creating project and tasks.

Timesheet Configuration
  • Timesheet columns are based on the configuration in Classic
    CA PPM
    under Administration, Project Management, Timesheet Options.
  • To get the best and most effective display of your timesheets grids, select  the following timesheet columns in the listed order in Classic

  • The list of available columns for selection in the Default Content and Layout section are reduced.

: Code fields refer to the Charge Code, Input Type code, User Value 1, and User Value 2 attributes. You can optionally configure up to two Code fields for the timesheet grid display. Regardless of which Code fields you select, all four Code fields display on the Details tab in the fly-out that appears for any timesheet line item.
  • The
    CA PPM
    administrator configures the timesheet column display under Administration, Project Management, Timesheet Options.
  • The Allow Posting of Future Timesheets option has moved from Administration, Project Management, Settings to Administration, Project Management, Timesheet Options.

Resource Management Setup
Complete the following setup in Classic
CA PPM
so resource managers and project coordinators can use the new resource management pages:
  • Define a default entity with fiscal time periods for use by the telescope calendar. See Video: Setting Up Resource Allocation Periods for step-by-step instructions.
    • The resource management views use the fiscal time periods to display allocation data.
    • There is no limit to the range of time periods that you can define.
    • The telescope calendar displays a total of 60 time periods. You can navigate backward or forward in the time periods in the telescope calendar.
    • You are only limited by the fiscal time periods that you have
      not
      defined in the default entity.
  • Activate and run the following jobs (for upgrade customers only). See Video: Setting Up Resource Management Views for step-by-step instructions.
    • Convert Mixed Booking Status
    • Populate Resource Management Curves
  • Grant appropriate booking rights to the resource manager and project coordinator. Refer to the Resource Manager and Project Coordinator sections in this article for the required access rights.
  • Define a standard base calendar. See How to Configure Calendars, Shifts, and Work Days.
  • Set up a default system currency. See Set Up Currencies and Foreign Exchange Rates.

Stock configuration of the internal, instant time-slicing of the allocation and assignment TSV views have not changed. They are as follows:

Security for Project Managers
To access the
New User Experience
, the project manager requires the following access rights assigned to them in Classic
CA PPM

  • Project - Create from Template (Global) or Project - Create
  • Project - View (Instance) to the templates that they can access to create projects
  • Resource - Soft Book - All (Global)  
    We recommend the Resource - Soft Book - All right because it allows the project manager to staff any active resources and roles to the project team. You can use the Resource - Soft Book rights at the instance or OBS level. Verify that you explicitly assign soft book rights for all of the resources and roles to the project manager ahead of time. Otherwise, you  encounter errors when creating the project and populating the project team.
  • Status Report - Create (Global)
  • Status Report - Edit - All (Global)
The user who creates the project is automatically granted the Project - Manager (Auto) access right.
To allow a project manager to create a project using a template that contains financial plans, and to copy the plans to Classic
CA PPM
project pages, assign the following access rights:

Without these rights, you cannot add the resource (team member) to the team. Adding the team member automatically results in a soft allocation of the resource to the project. A resource manager or another user with sufficient rights can change the booking from soft to hard on the Resources page or in Classic PPM.

Roles
  • You can add roles and perform role replacements using Resources.
  • If you have a project template where roles are assigned to the team, and you then create a project from this template in the
    New User Experience
    , the roles are not visible under the project Detail tab. The roles that are assigned to the team are only visible in Classic

Tasks and Assignments
  • Project managers and team members can create, update, and delete tasks, milestones, and phases.
  • Project managers and team members can assign team members to tasks.
  • Project managers can assign non-team members to tasks provided the following conditions are true:
    • The Assignment Pool setting for the project is set to Resource Pool in Classic 
      CA PPM
    • The project manager has soft booking rights for the resource.
  • A two-level task hierarchy is supported; phases which contain tasks. You can drag-and-drop the tasks anywhere in the hierarchy. See New User Experience: Manage the Project Lifecycle for more information. You can also drag-and-drop collapsed phases.
  • If the project administration setting
    Allow Effort Task Creation
    is selected in Classic

    , effort tasks are visible in the task list in the

Project Status Reports

Access Rights for Resource Managers

Timesheets: Review and Approval Access Rights
As a resource manager, you can review submitted timesheet details and either approve or return the timesheets for others. The options are available when you have the following timesheet approval access rights:
  • Timesheet – Navigate (Global) access right for reviewing and approving time.
  • Timesheets – Approve All (Global) or Resource – Approve Time (Instance) access rights. The access rights ensure that the resources for which you are the resource manager show up in the My Team list on the Review and Approval page.

Timesheets: Filter by My Team
As a resource manager, you have a team of active resources reporting to you. You are responsible for reviewing and approving the submitted timesheets for the resources. The resources are referred to as My Team (that is, the team of active resources that report to you).
The default view shows a list of submitted timesheets for My Team or the active resources for which you are the resource manager. You have the access rights to approve the timesheets for My Team. You can filter and show the team members for which you can approve timesheets.

Timesheets: Approvals
As a timesheet approver, you can perform the following actions on timesheets in different statuses: 
  • Open: Send reminders to the team members.
  • Submitted: Review detailed timesheets and approve or return the submitted timesheets to the team members.
  • Approved: Return the approved timesheets to the team members.
  • Posted: Create copies of the posted timesheets as adjustments. Team members can then update and resubmit the timesheets for processing.
  • Returned: Send reminders to the team members.
When there is an Adjustment timesheet, the adjustment appears on a separate row from the previously posted timesheet that is being adjusted. The timesheet approver can only view the details for a submitted adjustment timesheet. Past adjusted timesheet details are not available for viewing by the timesheet approver. The timesheet owner can view the details for all past adjusted timesheets.
Timesheet approvers can see a visual gauge indicating Total Hours booked over Total Hours of available work time. The visual gauge appears for each team member for which you have Timesheet Approval access rights.
A known issue exists where the Timesheet Review and Approval page only shows the time in hours (instead of days) even if your administrator has set up the time entry display unit as Days in Classic
CA PPM
.

Timesheet Processes
When you update a timesheet in the
New User Experience

can get triggered. The process can lock the timesheet status field. The APPROVE and RETURN buttons still appear on the submitted timesheet with the locked status field. However, when you as the timesheet approver click either button to approve or return the timesheet, the following message appears:

You can change the timesheet status using a process action item in Classic
CA PPM
only.

When a timesheet approver tries to approve a submitted timesheet, the following message appears:
TMA-0122: One or more timesheets' status could not be changed because it is locked by a process.
Timesheets: Filter by Resource Managers
As a resource manager, you can filter the timesheets by a Resource Manager on whose resources you have timesheet approval access rights. You can view, approve, return, and adjust the timesheets of the resources reporting to the other manager.

Timesheets: Enter time for Others
As a resource manager, you can create, edit, and submit timesheets for other team members. You can enter time for other resources, only when the following criteria is met:
  • You are assigned the

  • The Track Mode for the resource is set to PPM.

As a resource manager, you can perform the following activities to mange your team allocations for labor resources only:
  • Balance workload (under and over allocations)
  • Fulfill role staffing requests
  • Use a Telescope Calendar to configure the resource management views by fiscal time periods
  • Use Conversations to collaborate with the project coordinator in the context of the work
Resources to Investments View
To see a named resource appear in the view, you need soft or hard booking rights to the resource. Also, you can have optional resource view or edit rights to the resource general details. Based on the proper combination of your assigned access rights, you can perform the following tasks on this view:
  • With Resource - View rights, you can view the resource general properties detail tab
  • With Resource - Edit rights, you can edit resource general properties detail tab
  • For resources where you have either
    hard or soft
    booking rights, accessing the allocated investments where you have

    • View existing investment allocation amounts per time period

Requests View
The purpose of this view is to view incoming requests and perform role replacements. You do not add, remove, or edit allocations in this view.
The role replacement is a one-for-one replacement. Therefore, if the role is over 100 percent allocated, the target resource consumes the entire amount, assuming that the target resource is available for the entire allocation. There is no change in the role replacement behavior when the target resource is only partially available (that is, available less than 100% of their defined daily availability rate). When a target resource has less availability, the role remains on the investment with the remaining allocation amounts.
For example, a Role is requested with a daily availability rate of 8 hours. You have a resource with a daily availability rate of 7.5 hours and they are not booked on any other investments (that is, they are available 100% of their defined daily availability rate). When you perform role replacement, the entire role allocation is consumed by the resource and the role is removed from the view.
To see a role appear in the view, you need soft or hard booking rights to the role. Based on the proper combination of your assigned access rights, you can perform the following tasks on this view. 
  • Role general properties are not available to view or edit in this view.  Use classic PPM to update role general properties
  • For roles where you have either
    hard or soft
    booking rights, accessing the allocated investments where you have
    no
    investment view or edit rights:
    • View existing investment allocation amounts per time period
    • View investment allocation detail tab
    • Add, edit, or delete allocation conversations
  • For roles where you have
    hard
    booking rights, accessing the allocated investments with investment

Access Rights  for Team Members
 
The following access rights are automatically assigned to team members when they are added to a project in the
New User Experience
:
  • Projects - Navigate (Global)
  • Project - View Tasks (Instance)
  • Project - Task Management (Instance). This new access right allows team members to create, edit, delete, and add assignments to tasks.
Use one of the following options to prevent the auto-provisioning of access rights to your team members:
  • Staff your project team in Classic
    CA PPM
    .
  • Staff your team members within a project template in Classic
    CA PPM
    . When you create a project in the
    New User Experience
    using the template, the team members are not automatically assigned the required access rights. Manually assign the access rights to each team member in Classic
    CA PPM
    .
When a team member is removed from the project, the instance rights that the system auto-applied are removed. The global rights that were auto-applied are still applied to the user because the global rights can apply for another project.
When a team member is added as a participant to a project, the team member gets view access to the project. If the project management administration setting Automatically Add Staff Member As Investment Participant is set to Never, you must manually add the
Project - View
instance right to the team member. If the setting is one of the following options, verify that the team member is hard-booked and the request status is approved for the team member to get view access to the project:
  • When Hard-Booked
  • When Request Status is Approved
If you assign the team member to a project in Classic
CA PPM
, none of the new auto-rights are assigned to the team member.
Timesheets: Entry and Submission
As a team member, you enter time for your work only on My Timesheet. You can complete your timesheet, submit your timesheet, and can return unapproved timesheets. You can also adjust posted timesheets.
Verify the following requirements for entering time and submitting timesheets:
  • You have either of the following access rights:
    • Timesheet – Navigate (Global) and Resource - Enter Time (Instance) for creating your own timesheet.
    • Timesheets - Edit All (Global) which includes access rights for creating your own timesheet.

Timesheets: Create Timesheet
You can independently select each of the following options when creating a timesheet: 
  • Copy previous time period with or without hours
The option is available if the team member has previously created a timesheet. Hours that are entered on non-working days are not copied over to the new timesheet.
  • Add tasks assigned to me
The option is available if the team member has current task assignments.
  • Add Work
    The option is available if the team member is creating a timesheet for the first time. You can select tasks for all investments for which you are a team member.

Add Work Option
The option shows all tasks for all active investments where you are a team member. You can use compound filtering to shorten the task list. You can see and can send a notification to your project manager for work items that are not enabled for time entry. The list of tasks includes tasks with a status of Completed. You can filter the list of tasks using the following fields:
  • Investment Manager
  • Investment Type
  • Task Assignment. All Tasks, Tasks assigned to me, or Tasks not assigned to me
  • Work (Investment) Name or ID
  • Task Name
  • Phase Name
  • Task Start Date
  • Task Finish Date

Timesheet Processes
When you update a timesheet in the

can get triggered. The process can lock the timesheet status field. On the My Timesheet page, the APPROVE and RETURN buttons still appear on the submitted timesheet with the locked status field. However, when you as the team member click either button to approve or return the timesheet, the following message appears:
CMN-0015 Attribute 'prstatus' was locked and cannot be changed.
The action item owner can change the timesheet status using a process action item in Classic
CA PPM
.

When a Timesheet status is locked by a process, you as a team member see the following message from within the Timesheet Details view. You do not see the APPROVE or RETURN Buttons.

Access Rights for Project Coordinators
To access the new resource management pages, the project corodinator requires the following access rights assigned to them in Classic
CA PPM

  • Resource Management - Navigate
  • <investment> - Edit (includes all investments, project or non-project)
  • Soft or hard booking rights on roles
  • Resource soft or hard booking rights are required only if replacing role requests with named resources

Staffing Investments
As a project coordinator, you can perform the following staffing activities for labor resources only:
  • Staff investments and manage role requests
  • Use a Telescope Calendar to configure the resource management views by fiscal time periods
  • Use Conversations to collaborate with the resource manager in the context of the work
Investments to Resources View
To see an investment in the view, you need view or edit rights to the investment.
The role replacement is a one-for-one replacement. Therefore, if the role is over 100 percent allocated, the target resource consumes the entire amount, assuming that the target resource is available for the entire allocation. There is no change in the role replacement behavior when the target resource is only partially available.  When a target resource has less availability, the role remains on the investment with the remaining allocation amounts.
Based on the proper combination of your assigned access rights, you can perform the following tasks on this view:
  • View only the investment general details (no editing capability is available)
  • For investments where you have
    edit or view
    rights, accessing allocated resources or roles where you have
    no
    booking
    rights:
    • View existing allocation amounts on specific resources and roles per time period
    • View resource or role allocation detail tab
    • Add, edit, or delete allocation conversations
  • For investments where you have
    edit or view
    rights, access allocated resources or roles with
    hard
    booking rights:
    • View, add, edit or remove resource or role allocation amounts per time period
    • View or edit resource or role allocation detail tab
    • When you have edit rights to the investment, you can extend the allocation dates beyond the investment scheduled dates
    • Change the allocation booking status from soft to hard for resources
    • Route role requests to a specific resource manager
    • Perform role replacements with a target resource for which you have
      hard
      booking rights
    • Add, edit, or delete allocation conversations
  • For investments where you have
    edit
    rights, access allocated resources or roles where you have

    booking rights:

Resource booking rights and investment rights have NOT changed. The proper combination of rights to perform add, edit and remove actions on allocations is the same between both areas.
