New User Experience: Compare with Classic CA PPM

The functionality that you can access in the ppmnew depends on the access rights that your administrator has granted to you. For example, if you have access to timesheets only, the Timesheets page opens automatically. You likely have access to some combination of projects, resource staffing, and timesheets. Use the Menu at the top left of the page to navigate to those features or switch to Classic PPM.

Studio
The following Studio functionality is not available in the
New User Experience
:
  • Custom objects, subobjects, and attributes (except custom attributes for the Project object that are available through blueprints)
  • Display mapping outside of project status reports and project details:
    • The status colors on the project status reports and the project tiles (for example, green for On Track or red for At Risk) are based on the display mapping configuration for the Overall Status attribute of the Status Report object.
    • If the project blueprint includes attributes that have display mappings set up in Classic
      Clarity PPM
, then stoplights with hover text appear for those attributes in the project details. Display mapping is not available for boolean attribute types.
    See
CA Clarity PPM Studio Objects and Attributes

Resource Management
The following resource management attributes are only available in the
New User Experience
:
  • Forecast Rate at the resource or role level. The new field is available on the Resource object to define the default forecast hourly rate for a resource. The resource manager can see this field in the resource details on the Resources to Investments view. With Resource - Edit rights, the resource manager can edit this value for a resource. The value impacts the data in the Forecast column on the view.  You can also update the forecast hourly rate value for a resource using the Resource XOG object.
To define a default forecast hourly rate for a role in the role details, update the value on the role using the Resource XOG. The value is not available on the new or Classic
    Clarity PPM
    UI.
  • Forecast Rate at the allocation level. The new field is available on the Team object to define an investment-specific forecast hourly rate for a resource or role. The resource manager can see this field in the investment team allocation details on the Investments to Resources view.  With the appropriate booking rights on the resource and view or edit rights on the investment, the resource manager can edit this value. The value impacts the data in the Forecast column on the view.
  • Resource Manager. The new field is available on the Team object to define a requested resource manager. The resource manager can see this field in the investment team allocation details on the Requests view.  This field is used for labor roles as a means to identify the resource manager that should fulfill the staffing request.
The following object attributes are not visible in Classic
Clarity PPM
Studio:
  • Forecast Rate on the Resource object
  • Forecast Rate on the Team object
  • Resource Manager on the Team object
Partitions
Setting partitions is not available. If you use partitions in Classic
Clarity PPM
, the default partition that is defined under Account Settings is used when creating project and tasks.
The following lookup values that are defined in Classic
Clarity PPM
are visible in the
New User Experience
:
  • Lookup values that are directly associated with the System partition
  • Lookup values that are associated with a different partition with the partition association mode set to include ancestors. The include ancestors mode exposes the values to the System partition.
No changes.
Lookups
To increase the number of results in the auto-suggest for lookup fields in the
New User Experience
, increase the value in the "Number of displayed suggestions" field. The field appears under the Auto-Suggest tab for a lookup in Classic
Clarity PPM
. See Configure Lookups for details.
No changes.
Timesheet Configuration
  • Timesheet columns are based on the configuration in Classic
    Clarity PPM
under Administration, Project Management, Timesheet Options. For an effective appearance in timesheets, select the following columns in the listed order:
    • Description
    • One or more optional
      code
      fields
    • Daily Actuals
    • Total
    • ETC
  • The list of available columns for selection in the Default Content and Layout section are reduced. The following fields remain available, but do not have any effect on the new timesheet layout:
    • Investment
    • Investment ID
    • Phase
: Code fields refer to the Charge Code, Input Type code, User Value 1, and User Value 2 attributes.
  • You can access timesheets directly from
    CA Agile Central
    . See
Integrate CA PPM with CA Agile Central.
  • Since Release 15.1, the Allow Posting of Future Timesheets option has moved from Administration, Project Management, Settings to Administration, Project Management, Timesheet Options.
Resource Management Setup
Complete the following setup in Classic
Clarity PPM
so resource managers and project coordinators can use the new resource management pages:
  • Define a default entity with fiscal time periods for use by the telescope calendar. See Video: Setting Up Resource Allocation Periods for step-by-step instructions.
    • The resource management views use the fiscal time periods to display allocation data.
    • There is no limit to the range of time periods that you can define.
    • The telescope calendar displays a total of 60 time periods. You can navigate backward or forward in the time periods in the telescope calendar.
    • You are only limited by the fiscal time periods that you have
      not
      defined in the default entity.
  • Activate and run the following jobs (for upgrade customers only). See Video: Setting Up Resource Management Views for step-by-step instructions.
    • Convert Mixed Booking Status
    • Populate Resource Management Curves
  • Grant appropriate booking rights to the resource manager and project coordinator. Refer to the Resource Manager and Project Coordinator sections in this article for the required access rights.
  • Define a standard base calendar. See How to Configure Calendars, Shifts, and Work Days.
  • Set up a default system currency. See Set Up Currencies and Foreign Exchange Rates.
Specify the default entity from the entity properties or from the financial management defaults page. See

As an application owner, configure blueprints to determine what project properties appear for a specific business unit such as the Marketing or the IT business unit.
  • Create custom blueprints by copying the Standard Project blueprint or any other user-defined blueprint
  • Designate a default blueprint so that if you have not configured a blueprint, the system can use the attributes and section layout from the default blueprint.
  • Associate project templates to blueprints
  • Edit a user-defined blueprint to change the layout details
  • Publish the configured blueprint to make the changes available to templates and projects
The following attribute data types are not available for blueprint configuration:
  • URL
  • Attachment

Classic
Clarity PPM
Security for Project Managers
To access the
New User Experience
, the project manager requires the following access rights assigned to them in Classic
Clarity PPM
:
  • Project - Create from Template (Global) or Project - Create
  • Project - View (Instance) to the templates that they can access to create projects
  • Project Management - Navigate
  • Projects - Navigate
  • Resource - Soft Book - All (Global)
We recommend the Resource - Soft Book - All right because it allows the project manager to staff any active resources and roles to the project team. You can use the Resource - Soft Book rights at the instance or OBS level
but this practice can reduce the performance of the Staffing portlets
. Verify that you explicitly assign soft book rights for all of the resources and roles to the project manager ahead of time. Otherwise, you  encounter errors when creating the project and populating the project team.
  • Status Report - Create (Global)
  • Status Report - Edit - All (Global)
The user who creates the project is automatically granted the Project - Manager (Auto) access right.
To allow a project manager to create a project using a template that contains financial plans, and to copy the plans to Classic
Clarity PPM
project pages, assign the following access rights:
  • Cost Plan - Edit
  • Benefit Plan - Edit
  • Budget Plan - Edit
No changes
Project Creation
Auto-numbering for the Investment ID attribute on the Project object must be enabled in Classic
Clarity PPM
to create projects in the
New User Experience
. If you try to create a project without enabling auto-numbering, an error message appears. See
Auto-Numbered Attributes
in
Clarity PPM
Studio Objects and Attributes for more information about the error.
  • You can only create a project using an existing project template that is created in Classic
    Clarity PPM
. You must have access to a project template to create projects. See Create Projects from Project Templates for more information about templates.
  • If a user has access to the project tiles page, they can see the New Project button but to create projects they need access to project templates.
  • The project manager or users with  project edit rights can edit the project details.
  • The Project Progress field is not available in the
    New User Experience
    .
  • You can search projects based on active status, project manager, project name, or project ID on the Projects page.
  • You can use the Work Status field available with the PMO Accelerator add-in.
No changes
Project Visuals
You can configure the following visuals for blueprints to display as guages on project tiles:
  • Budget Remaining (ring chart)
  • Budget Spent (ring chart)
  • Days Remaining (circle)
  • Days to Start (circle)
  • Effort Remaining (ring chart)
  • Effort Spent (ring chart)
  • Finish Date (calendar)
  • Next Milestone (diamond)
  • Start Date (calendar)
No changes
Project Team
  • Defining allocations is not available.
  • Users with project edit rights and booking rights to labor resources can successfully add team members to a project.
  • When adding team members to a project, you can see all active resources. Adding the team member automatically results in a soft allocation of the resource to the project. A resource manager or another user with sufficient rights can change the booking from soft to hard.
No changes
Roles
  • You can add roles and perform role replacements using Staffing functionality.
  • If you have a project template where roles are assigned to the team, and you then create a project from this template in the
    New User Experience
, the roles are not visible under the project Detail tab. The roles that are assigned to the team are only visible in Classic
    Clarity PPM
    .
  • If you have a project template where roles are assigned to the tasks, and you then create a project from this template in the
    New User Experience
, the roles are still assigned to the tasks in the new project. You can replace the roles with named resources using the Staffing functionality.
If you create a project in the
New User Experience
and the project template has roles that are assigned to the team members, the roles that are assigned to the team are visible in Classic
Clarity PPM
.
Tasks and Assignments
  • Project managers and team members can create, update, and delete tasks, milestones, and phases.
  • Project managers and team members can assign team members to tasks if they also have the appropriate booking rights (soft or hard).
  • Project managers can assign non-team members to tasks provided the Assignment Pool setting for the project is set to Resource Pool in Classic
    Clarity PPM
    .

  • The full functionality is only available for a two-level task hierarchy; phases which contain tasks. For a task hierarchy with more than two levels, the task list displays but drag-and-drop is disabled. Also, you can only update the leaf level tasks. This is only applicable to the task List View, not the Board View.
You can drag-and-drop the tasks anywhere in the hierarchy. See Projects Tasks, Phases, and Milestones for more information. You can also drag-and-drop collapsed phases.
  • If the project administration setting
    Allow Effort Task Creation
    is selected in Classic
    Clarity PPM
, effort tasks are visible in the task list in the
    New User Experience
    , but are read-only.
  • Only two task statuses (Open and Completed) are supported. The task status of Not Started and Started that are set in Classic
    Clarity PPM
are considered as Open in the
    New User Experience
    .
  • You can create a project "To Do" for phases, tasks, or milestones.
    • Create up to 25 "To Do" records for each task, phase, or milestone.
    • There is no XOG support for To Do.
  • Setting the task status to Completed automatically sets the ETC to zero (0) and % Complete to 100 percent. You can edit the % Complete field value only if the % Complete Calculation field value is set to Manual.
  • A project "To Do" is not visible in Classic
    Clarity PPM
    .
  • After team members are assigned to tasks in the
    New User Experience
, their allocations are evenly distributed across all of their assignments. You can see their allocations in Classic
    Clarity PPM
    .
Task List View or Board View
  • Project managers, team members, and other users with project access can view and manage tasks in the List View or Board View.
  • The Board View allows users to arrange leaf level tasks into columns.
    • Phase tasks are not shown in the Board View.
    • You can create new tasks within a column.
    • You can insert, delete, or rename columns.
    • You can reorder a task within a column or move to another column.
Board View of tasks is not available
Gantt View and Schedulers
  • Project managers, team members, and other users with project access can view the project plan in the Gantt view or an external scheduler such as Microsoft Projects or Workbench.
  • Users with project edit management access can edit the project plan within the Gantt view or the scheduler.
No changes
Project Status Reports
  • Install the PMO Accelerator add-in in Classic
    Clarity PPM
to use real-time status reports in the
    New User Experience
    .
  • Users with project edit rights and status report create rights can create status reports.
  • Users with project edit rights and status report edit rights can edit status reports. They can also preview and publish status reports in PDF.
The system displays the status report instance where the Report Status is Draft for the most recent Report Date.
  • Team members can only view the status report under the Current tab. They can also view previously published status reports under the Reports tab. The Preview and Preview Current options are disabled for team members.
  • The
    New User Experience
uses the PMO Accelerator Status Report sub object. Custom attributes that are added to the Status Report sub object are not visible in the
    New User Experience
    .

Project Documents
  • By default, Project Managers and Team Members can view and edit (upload, download, delete, and add tags) all documents associated with their Project. Access to specific documents varies.
  • Non-team members with the Project Edit access right can view and edit all documents.
  • Non-team members with the Project View access rights can view and download documents.
  • The administrator determines project document settings in the governor properties file. For example, by default you can upload no more than five files with a maximum size of 20 MB. Your administrator can also determine the file types that you can upload.
  • Versioning is not supported in the New User Experience. If document versioning is required for your environment, use Classic PPM.
No changes
Project Links
  • Project managers and users with project edit rights can add and remove external hyperlinks for the project and can group the links into categories.
  • Team members and users with project view rights can view and access hyperlinks for the project.

Access Rights for Resource Managers
When a team member is assigned a resource manager, the following access rights are auto-assigned to the resource manager over the team member:
  • Resource - Manager (Auto) (this includes both soft and hard booking rights for resources)
  • Resource - Edit Financial
  • Resource - Edit
To access the new resource management pages, the resource manager requires the following access rights assigned to them in Classic
Clarity PPM
:
  • Staffing - Navigate
  • Soft or hard booking rights for roles (for role replacement activities)
  • Investment (project and non-project) view or edit rights to add, edit, or remove team allocations

Timesheets: Review and Approval Access Rights
As a resource manager, you can review submitted timesheet details and either approve or return the timesheets for others. The options are available when you have the following timesheet approval access rights:
  • Timesheet – Navigate (Global) access right for reviewing and approving time.
  • Timesheets – Approve All (Global) or Resource – Approve Time (Instance) access rights. The access rights ensure that the resources for which you are the resource manager show up in the My Team list on the Review and Approval page.
No changes.
You can review the details for open, returned, submitted, approved, and posted timesheet for other people. The options are available when you have Timesheet Approval access rights.
Timesheets: Filter by My Team
As a resource manager, you have a team of active resources reporting to you. You are responsible for reviewing and approving the submitted timesheets for the resources. The resources are referred to as My Team (that is, the team of active resources that report to you).
The default view shows a list of submitted timesheets for My Team or the active resources for which you are the resource manager. You have the access rights to approve the timesheets for My Team. You can filter and show the team members for which you can approve timesheets.
No changes.
Timesheets: Approvals
As a timesheet approver, you can perform the following actions on timesheets in different statuses:
  • Open: Send reminders to the team members.
  • Submitted: Review detailed timesheets and approve or return the submitted timesheets to the team members.
  • Approved: Return the approved timesheets to the team members.
  • Posted: Create copies of the posted timesheets as adjustments. Team members can then update and resubmit the timesheets for processing.
  • Returned: Send reminders to the team members.
When there is an Adjustment timesheet, the adjustment appears on a separate row from the previously posted timesheet that is being adjusted. The timesheet approver can only view the details for a submitted adjustment timesheet. Past adjusted timesheet details are not available for viewing by the timesheet approver. The timesheet owner can view the details for all past adjusted timesheets.
Timesheet approvers can see a visual gauge indicating Total Hours booked over Total Hours of available work time. The visual gauge appears for each team member for which you have Timesheet Approval access rights.
A known issue exists where the Timesheet Review and Approval page only shows the time in hours (instead of days) even if your administrator has set up the time entry display unit as Days in Classic
Clarity PPM
.
No changes.
If a timesheet approver has either the Timesheets - Edit All (Global) or Resource - Enter Time (Instance) access right for other people, the timesheet approver can create and edit timesheets for other people.
Timesheet Processes
When you update a timesheet in the
New User Experience
, a timesheets process that has been defined and activated in Classic
Clarity PPM
can get triggered. The process can lock the timesheet status field. The APPROVE and RETURN buttons still appear on the submitted timesheet with the locked status field. However, when you as the timesheet approver click either button to approve or return the timesheet, the following message appears:
Error updating the status for the timesheet.
You can change the timesheet status using a process action item in Classic
Clarity PPM
only.
No changes.
When a timesheet approver tries to approve a submitted timesheet, the following message appears:
TMA-0122: One or more timesheets' status could not be changed because it is locked by a process.
Timesheets: Filter by Resource Managers
As a resource manager, you can filter the timesheets by a Resource Manager on whose resources you have timesheet approval access rights. You can view, approve, return, and adjust the timesheets of the resources reporting to the other manager.
No changes.
Timesheets: Enter time for Others
As a resource manager, you can create, edit, and submit timesheets for other team members. You can enter time for other resources, only when the following criteria is met:

The following access rights are automatically assigned to team members when they are added to a project in the
New User Experience
:
  • Projects - Navigate (Global)
  • Project - View Tasks (Instance)
  • Project - Task Management (Instance). This new access right allows team members to create, edit, delete, and add assignments to tasks.
  • Status Report - View - All (Global). The access right allows team members to see all the status report instances for the project.
Assign the Project Management - Navigate access right to team members in Classic
Clarity PPM
to enable them to see the Projects option in the main menu.
Use one of the following options to prevent the auto-provisioning of access rights to your team members:
  • Staff your project team in Classic
    Clarity PPM
    .
  • Staff your team members within a project template in Classic
    Clarity PPM
. When you create a project in the
    New User Experience
using the template, the team members are not automatically assigned the required access rights. Manually assign the access rights to each team member in Classic
    Clarity PPM
    .
When a team member is removed from the project, the instance rights that the system auto-applied are removed. The global rights that were auto-applied are still applied to the user because the global rights can apply for another project.
When a team member is added as a participant to a project, the team member gets view access to the project. If the project management administration setting Automatically Add Staff Member as Investment Participant is set to
Never
, you must manually add the
Project - View
instance right to the team member. If the setting is one of the following options, verify that the team member is hard-booked and the request status is approved for the team member to get view access to the project:
  • When Hard-Booked
  • When Request Status is Approved
We recommend that you set Automatically Add Staff Member as Investment Participant to
When Added to Investment
. Without this setting, the application does not automatically grant the
Project - View
instance right and you would have to find the requisition and verify that it is approved before granting access.
If you assign the team member to a project in Classic
Clarity PPM
, none of the new auto-rights are assigned to the team member.
Timesheets: Entry and Submission
As a team member, you enter time for your work only on My Timesheet. You can complete your timesheet, submit your timesheet, and can return unapproved timesheets. You can also adjust posted timesheets.
Verify the following requirements for entering time and submitting timesheets:
  • You have either of the following access rights:
    • Timesheet – Navigate (Global) and Resource - Enter Time (Instance) for creating your own timesheet.
    • Timesheets - Edit All (Global) which includes access rights for creating your own timesheet.
  • The following options are set for you in Classic
    Clarity PPM
    (Home, Resource Management, Resources, Settings):
    • Track Mode = PPM
    • Open for Time Entry = Selected
    • Active status = Selected
No changes.
You enter work for My Timesheet and on timesheets for other people when you have Time Entry access rights.
Timesheets: Create Timesheet
You can independently select each of the following options when creating a timesheet:
  • Copy previous time period with or without hours
The option is available if the team member has previously created a timesheet. Hours that are entered on non-working days are not copied over to the new timesheet.
  • Add tasks assigned to me
The option is available if the team member has current task assignments.
  • Add Work
The option is available if the team member is creating a timesheet for the first time. You can select tasks for all investments for which you are a team member.
No changes.
When you change the Populate or Copy options, there is no effect on the timesheet functionality in the
New User Experience
.
Timesheets: Work Tasks
Add Work Option
The option shows all tasks for all active investments where you are a team member. You can use compound filtering to shorten the task list. You can see and can send a notification to your project manager for work items that are not enabled for time entry. The list of tasks includes tasks with a status of Completed. You can filter the list of tasks using the following fields:
  • Investment Manager
  • Investment Type
  • Task Assignment. All Tasks, Tasks assigned to me, or Tasks not assigned to me
  • Work (Investment) Name or ID
  • Task Name
  • Phase Name
  • Task Start Date
  • Task Finish Date
See
Known Issues
in Change Impact and Upgrade for more information about error messages when entering dates.
: You cannot enter indirect time or time for incidents; timesheets with these types of entries previously created in Classic do not appear. The new timesheets in CA PPM 15.x no longer support indirect time entries. Use
Other Work
instead. You might observe differences in totals if you entered and approved indirect time using Classic PPM timesheets and later switch to the new timesheets in CA PPM 15.x.
You can enter pending ETC values in the timesheet ETC field.
No changes.
A project manager can continue to accept or reject pending ETC values in the task assignments in Classic PPM.
Timesheets: Visual Gauges
Visual Gauges
Timesheet users can see the following gauges:
  • Tracked Time. Total hours (or days) booked on My Timesheet over total hours (or days) of available work time.
  • % of Project Time. The percentage of the number of hours (or days) booked on a Project investment type compared to the number of hours (or days) booked on other investment types.
See New User Experience: Enter Hours and Submit a Timesheet for more details on these gauges.
No changes.
Timesheet Processes
When you update a timesheet in the
New User Experience
, a timesheets process that has been defined and activated in Classic
Clarity PPM
can get triggered. The process can lock the timesheet status field. On the My Timesheet page, the APPROVE and RETURN buttons still appear on the submitted timesheet with the locked status field. However, when you as the team member click either button to approve or return the timesheet, the following message appears:
CMN-0015 Attribute 'prstatus' was locked and cannot be changed.
The action item owner can change the timesheet status using a process action item in Classic
Clarity PPM
.
No changes.
When a Timesheet status is locked by a process, you as a team member see the following message from within the Timesheet Details view. You do not see the APPROVE or RETURN Buttons.
TMA-0118: This timesheet's status has been locked by the process engine. It can only be changed by an action item.
