New User Experience: Create and Edit Hierarchies

Rhonda is a product manager. Her primary responsibility is to ensure she understands the market her products serve and ensure her products add value.  She is a part of the investment management function, and some of her key responsibilities include:
  • Defining the strategy of the products
  • Ensure products align with the corporate strategy while delivering value in the marketplace
  • Prioritizing the marquee features (epics) and work with customers to ensure the product is delivering value for them
Unlike a typical product manager, her work does not begin when teams start developing products.  Also, her work does not end when the product is ready to be released to the market. Some key activities she conducts include a marketing launch event, a product enablement event, and a customer engagement and adoption event.
At any point in time, Rhonda has teams working on some of the following areas:
  • Delivering projects on time and on budget.
  • New ideas where some team members are evaluating various possibilities that could help develop the future roadmap for the product.
  • Analyze investments that are more significant strategic initiatives that will help drive product adoption and sales in the marketplace.
Rhonda spends a lot of time tracking all these projects, ideas, and custom investments and uses a spreadsheet to track the relationship between them. This is a time-consuming and error-prone activity. It becomes challenging for her to track the exact state of her investment at any point in time.
She can now use Hierarchies in Clarity PPM to create one or more hierarchies and define the relationship between various investments. Each hierarchy includes a tree with multiple cards. She can then establish a parent-child relationship between cards to help her stakeholders understand the dynamics of her products.

Some key points you need to remember while using the Hierarchies are:
  • In this release, an Investment Hierarchy is limited to a maximum of 500 cards.
  • Saved views defined at the investment level (e.g., Project, Idea and Custom Investment Type), are available on the multi-select add grid when importing those investment types.
  • If Projects or Ideas are deleted by using the Delete Investment Job, the investment types will automatically be removed from the Hierarchies.
In this release of Clarity PPM, you can add investments (ideas, projects, and custom investments) as cards to a hierarchy.

Pre-Requisites
You need a subset of following access rights to interact with hierarchies in this release of Clarity PPM depending on your role and requirement:
  • Hierarchy – Navigate: Allows you to view the Hierarchy menu item in the Clarity PPM New User Experience.
  • Hierarchy – Create: Allows you to create a hierarchy in the Clarity PPM New User Experience.
  • Hierarchy – Edit – All (Global): Allows you to edit all the hierarchies associated with the hierarchy object instance
  • Hierarchy – Edit: Allows you to create, read, update, and delete cards in a specific hierarchy.
  • Hierarchy – View All  (Global):
    • Allows you to view all the hierarchies associated with the hierarchy object instance
    • Allows you view access to all the cards of a tree in a hierarchy even if you do not view access to individual investments that are added as cards
  • Hierarchy – Delete – All (Global): Allows you to delete all the hierarchies associated with the hierarchy object instance
  • Hierarchy – Delete – Allows you to delete a specific hierarchy.
  • If you want to import investments into the hierarchy, you will need the Investment - Navigate right and view access to the investments that you want to import.
  • Hierarchies only support global and instance rights in this release. Hierarchies do not support OBS security rights in this release.
Manage Hierarchies using the Grid Layout
You can click the Hierarchies icon in the main menu to open the Hierarchies (beta) page. This page displays the list of hierarchies for which you have been provided access. Some key actions you can perform on this page are:
  • Create a new hierarchy
  • Use the column picker to add fields to the grid
  • Use the Filter option to identify appropriate hierarchies
  • Use the View button to save and load views
  • Use the Export option to export a list of hierarchies displayed on your page
  • Use the DETAILS panel to review details associated with hierarchies
The filter, export, views, and DETAILS capabilities are a part of the standard grid functionality in Clarity PPM. Please see Common Components to learn more about these capabilities.
Example
: In our example, Rhonda and her stakeholders can use the Hierarchies (beta) page to view all the hierarchies in their organization.
Configure Cards Associated with Hierarchy Trees

Consider a scenario, where you want a few stakeholders to view all the hierarchies in Clarity PPM. You can assign them the Hierarchy – Navigate and Hierarchy – View All access rights. Your stakeholders can now see the Hierarchy icon in the Clarity PPM New User Experience. They can drill into the various hierarchies and view the investments that have been added as cards. The stakeholders cannot see the IMPORT button that is to add additional investments to the hierarchy since they have only view rights.
The stakeholders can also customize the cards by using View Options. They can perform the following actions:
  •   Determine the color of cards for the entire tree
  •   Select the card title, card fields, and card metrics for various investment types
  •   Create and manage custom metrics for the hierarchy.
Set the Color of Investment Cards
You can select the custom or stock lookup attributes that you want the board to use for the color of each card. Your selection is applicable to all the cards in the hierarchy.

Follow these steps:
  1. In the main menu, click
    Hierarchies
    . The Hierarchies (beta) page is displayed.
  2. Select the hierarchy you want to open. You will see the hierarchy tree structure and the investments that have been added as cards.
    You don’t need to have view access for the investments that have been added as cards to see them in the hierarchy workspace. However, you will only be able to click and drill-down into investments for which you have appropriate access rights.
  3. Click
    View Options
    .
  4. Under TREE OPTIONS select the attribute that you want the board to use for the color of each card.
  5. The Hierarchies page is refreshed, and the color associated with your attribute would be applied.
  6. When you are finished customizing the cards, close the CARD OPTIONS window.
Select the Fields to be Displayed on Cards

You can select the various custom or stock attributes that can be displayed as the card title, card fields, and card metrics for specific investment types. Clarity PPM allows you to select different attributes for different investment types.
In our example, Rhonda can decide that she wants to see Planned Cost and Planned Benefit for ideas and Planned Cost and Actuals for projects.
Follow these steps:
  1. In the main menu, click
    Hierarchies
    . The Hierarchies (beta) page is displayed.
  2. Select the hierarchy you want to open. You will see the hierarchy tree structure and the investments that have been added as cards.
    You don’t need to have view access for the investments that have been added as cards to see them in the hierarchy workspace. However, you will only be able to click and drill-down into investments for which you have appropriate access rights.
  3. Click
    View Options
    .
  4. Under CARD OPTIONS navigate to the relevant investment type (Idea, Project, or Custom Investment) and select the following options:
    1. CARD TITLE: Select a string attribute to appear at the top to identify each card.
    2. CARD FIELDS: Select up to four (4) attributes to appear on the face of each card in the order selected.
    3. CARD METRICS: Select up to three (3) attributes to appear along the bottom of each card to convey meaningful status information or metrics.
  5. When you are finished customizing the cards, close the CARD OPTIONS window.
Each custom investment appears as a separate investment type in the View Options window. You have the flexibility to select relevant fields for each custom investment based on your business needs.
Create and Manage Custom Metrics
You can use the powerful roll-up feature and hierarchy card metrics to ensure you can see the total cost to implement a program, a strategy, a product, an investment, or any other hierarchy. Clarity PPM allows you to roll up hierarchy card metrics using either an aggregation or calculation method. Hierarchies include a new capability to define Aggregation or Calculation metrics. Hierarchy roll-up is automated when defined metrics are applied to an investment type. While aggregation metrics roll up within the entire hierarchy across all investments, calculation metrics apply to a single investment. Calculation Metrics perform basic mathematical operations on stock attributes, custom attributes, and aggregation metrics and display the value on a hierarchy card.
Example: Rhonda manages a portfolio of security products for her organization. She has already added them to a hierarchy and created a tree structure that represents the relationship between investments. She wants to monitor the health of her program in realtime and has two key objectives:
  • She wants to quickly look at the total planned cost of the program, which includes multiple projects and ideas.
  • She has multiple ideas that contribute to the program. Numerous smaller ideas contribute to a large idea, which then contributes to the success of the program. She wants to keep a close watch on the Total Expected Profit for ideas. The Total Expected Profit is calculated by subtracting the Total Cost from the Total Benefit.
Rhonda can use the aggregation metrics and calculation metrics to achieve her goal. She can start by creating a new aggregation metric.
Working with Aggregation Metrics
Aggregation metrics roll up within the entire hierarchy across all investments.

Follow these steps:
  1.   In the main menu, click
    Hierarchies
    . The Hierarchies (beta) page is displayed.
  2. Select the hierarchy you want to open. You can see the hierarchy tree structure and the investments that have been added as cards.
  3.   Under CARD OPTIONS, select
    Manage Custom Metrics
    .
  4.   Select
    New Metric
    and enter the name of the metric. In our scenario, we can call it Total Planned Cost.
  5.   Since we are creating an aggregation metric, ensure that the
    Aggregation
    checkbox is selected.
  6.   In the METRIC BASED ON field, select the relevant attribute. In our scenario, we can select the Planned Cost attribute.
  7.   In the AGGREGATION SCOPE field, select between the
    Children Only
    and
    Self and Children
    options.
    • If you chose the Self and Children option, Clarity PPM would add the value of the selected attribute of the investment to the rolled-up sum of all children and display it. In our scenario, Clarity PPM rolls up the planned cost for all children associated with an investment and add it to the planned cost of the investment.
    • If you choose the Children Only option, Clarity PPM only displays the rolled-up sum of the selected attribute. In our scenario, Clarity PPM rolls up the planned cost for all children associated with an investment and display it.
  8. Click the
    Create
    button.
  9. Open Card Options and, under the relevant investment, add your aggregated metric to the card by using the
    CARD METRICS
    list.
  10. The cards are refreshed, and you can see your aggregated metric on the screen.
In our scenario, Rhonda can see the Total Planned cost for the whole program on and rolled-up costs for individual parent segments.
Working with Calculation Metrics
Calculation Metrics perform basic mathematical operations on stock attributes, custom attributes, and aggregation metrics and display the value on a hierarchy card.

Follow these steps:
  1. In the main menu, click
    Hierarchies
    . The Hierarchies (beta) page is displayed.
  2. Select the hierarchy you want to open. You can see the hierarchy tree structure and the investments that have been added as cards.
  3. Under CARD OPTIONS, select
    Manage Custom Metrics
    .
  4. Select
    New Metric
    and enter the name of the metric. In our scenario, we can call it Total Expected Profit.
  5. Since we are creating a calculation metric, ensure that the
    Calculation
    checkbox is selected.
  6. In the
    METRIC ONE
    list, select the first attribute relevant for the calculation. In our scenario, we can select the Total Profit aggregation metric. This metric sums up the benefit associated with all ideas.
  7.   In the
    OPERATOR
    list, select the relevant operator. In our scenario, we can select the minus attribute.
  8.   In the
    METRIC TWO
    list, select the second attribute relevant for the calculation. In our scenario, we can select the Total Planned Cost aggregation metric. This metric sums up the total planned cost associated with all ideas.
  9.   Click the
    Create
    button.
  10. Open Card Options and, under the relevant investment, add your calculated metric to the card by using the
    CARD METRICS
    list. In our scenario, Rhonda can add the Total Profit calculated metric to ideas in the hierarchy.
  11.   The cards are refreshed, and you can see your aggregated metric on the screen.
In our scenario, Rhonda can see the Total Profit for all ideas and each individual idea. She can use this data to make relevant decisions.
Some key points to remember when working with aggregation and calculation metrics are:
  • Aggregation metrics roll up within the entire hierarchy across all investments while calculation metrics apply to a single investment.
  • Hierarchy aggregation or calculation metrics support create operations and delete operations. You can edit the metric name but not the definition of the metric. You have to delete a metric and create a new metric if you want to make minor changes to your metric and avoid duplication.
  • Hierarchy aggregation or calculation metrics cannot be created or updated via XOG or Classic Clarity PPM.
  • If you are using custom attributes, ensure you create them in the investment object versus any other object or sub object.
  • Field level security (FLS) is not applied to information displayed in the hierarchy.
  • Attributes configured as a hierarchy card metric are rounded up and displayed.
  • Attributes configured as a hierarchy card field are not rounded up and displayed as is.
  • Classic Clarity PPM includes Studio aggregated and calculated attributes. The Hierarchy aggregation and calculation metrics is a new functionality that is only applicable to the New User Experience. Review the following table to understand the difference between these metrics.

  • When you save a view after configuring cards, Clarity PPM saves the card title, card fields and card metrics for the saved view.
  • The linking of cards and what cards are deleted or visible in the workspace does not impact on the saved view. For example, if you delete a link or a card, it does not trigger an unsaved view.
Create a Hierarchy
Consider a scenario where you want to create a new hierarchy. You need to have the Hierarchy – Create access right to create a new hierarchy.
Follow these steps
:
  1. In the main menu, click
    Hierarchies
    . The Hierarchies (beta) page is displayed.
  2. Click the (+) plus icon to add a new hierarchy to the Idea grid. You can also right-click in the grid and select Insert Row Below
  3. Enter the hierarchy name and hierarchy ID to create a new hierarchy.
If you create a hierarchy instance, you will automatically be granted edit and delete permissions to that hierarchy instance.
Adding Investments as Cards to the Hierarchy Workspace
Consider a scenario where you want to edit a hierarchy. You should have the Hierarchy – Edit – All (Global) or the Hierarchy Edit access right. You can then use the IMPORT button to add investments (projects, ideas, and custom investments) to the hierarchy workspace.
Here are a few essential rules to remember when you use the IMPORT button to import investments to the hierarchy workspace:
  1. You need to have at least the <investment> - navigate right to ensure that the investment is visible in the INVESTMENT TYPE drop-down list when you click the IMPORT button. Example: If you want to add Ideas to Hierarchies workspace, you should have Ideas – Navigate access right. You can then see Ideas in the INVESTMENT TYPE drop-down list.
  2. After you have the <investment> - navigate right, you will only be able to view and add investments for which you have <investment> - view or higher access rights. Example: If you have the ideas-navigate access right but don’t have view privileges to any idea, you will see the Ideas in the INVESTMENT TYPE drop-down list. However, you will not see any ideas on the Select Hierarchy Investments page.
  3. You can only add investments to the hierarchy workspace when you have the <investment> - navigate access right and have at least view access to the investments.
Follow these steps:
  1. In the main menu, click
    Hierarchies
    . The Hierarchies (beta) page is displayed.
  2. Select the hierarchy you want to open. You will see the hierarchy workspace.
  3. Click
    IMPORT
    and select the relevant investment. All custom investments will be available as separate options.
  4. When you select an investment type, and Clarity PPM loads it in the Select From "Investment" page.
  5. You can now perform the following actions:
    1. Click
      SELECT ALL
      to select all the investments on the page.
    2. Use the multi-select capability to select multiple investments.
    3. Use the
      DESELECT ALL
      option to clear all your selections
  6. Use the
    ADD
    button to add all your selections to the hierarchy workspace.  These investments are now available as cards.
  7. You can click the card title to navigate to the linked investment workspace. You can click the hierarchy name to navigate back to the hierarchy workspace.
  • In this release of Clarity PPM, you can add a maximum of 500 investments to the hierarchy workspace.
  • You cannot add the same investment more than once to the hierarchy workspace.
Example
: Rhonda can import multiple projects, ideas, and custom-investments that help her deliver her product into the hierarchy workspace as cards.
Linking Cards in the Hierarchy Workspace
When you want to create a link between cards in your hierarchy, select the child and drag it across to the parent to create a relationship between them. The tree will refresh every time you add or remove a link or an investment.
Follow these steps:
  1. In the main menu, click
    Hierarchies
    . The Hierarchies (beta) page is displayed.
  2. Select the hierarchy you want to open. You will see the hierarchy workspace.
  3. Hover over the child card, right-click, and drag your mouse to the parent card. You have now established a parent-child relationship between two investments. You can follow the same process to develop parent-child relationships between all your investments in the hierarchy workspace. The hierarchy tree is automatically updated when you update it.
  4. If you want to delete a link between cards, select the link and press the DELETE key. The card will not be a part of the tree and will be available on the Hierarchy workspace. If you remove a card that has children, the children will move up one level.
  5. If you select a card and press DELETE, it will be removed from the hierarchy workspace.
Example
: Rhonda can start creating relationships between her projects, ideas, and investments. She can add and link ideas that help her streamline the product adoption activities to the product adoption project. Similarly, she can link other projects, ideas, and investments until she has a tree where stakeholders can see how these investments are dependent on each other to create products that are released to the market.
Navigating Across Cards of a Tree
When you add hundreds of investments as cards and create parent-child relationships between them. However, it can be challenging to navigate to specific sections of the tree. In such scenarios, you can expand the Overview tab and move the blue rectangle to navigate to different areas of the hierarchy workspace. You can also move your mouse to the small square at the bottom right corner of the rectangle to zoom in or out of the workspace.
Export Hierarchies as a PDF File
You can select a hierarchy and export the complete hierarchy tree to a PDF file.
Follow these steps:
  1. In the main menu, click Hierarchies. The Hierarchies (beta) page is displayed.
  2.   Select the hierarchy you want to open. You can see the hierarchy tree structure and the investments that have been added as cards.
  3. Click the Export to PDF button to save your hierarchy as a PDF file.
  • Clarity PPM does not support the PDF export for double-byte languages in this release.
  • Clarity PPM does not support PDF for languages such as French that use spaces as delimiters.
