The nature of work today is changing. Users are expecting applications to be more social, more team-focused, and more user-friendly. To address these market dynamics, the
Clarity
team began a journey to build a modern user experience (UX) with enhanced capabilities for all users, from top-level enterprise portfolio managers, to mid-level project management professionals, and smart agile teams of all sizes. We released the first version of our Modern UX in
Clarity
15.1. In each subsequent release, we have added robust new capabilities such as roadmaps, task boards, to-do item dashboards, conversations, blueprints, dynamic grids, status reports, and more.
The functionality that you can access in
Clarity
depends on the access rights that your administrator has granted to you. For example, if you have access to timesheets only, the Timesheets page opens automatically. You likely have access to some combination of projects, resource staffing, and timesheets. Use the main menu at the left side of the page to navigate to those features or switch to
Classic PPM
. For more information about access rights, see

Processes
  • Processes are not visible.
  • Process locks, which are user interface locks, do not show any lock icons letting users know that the attribute is locked.
  • When values are saved, the process lock is enforced and displays an error message letting the user know that the attribute is locked.
  • If you create a process on the Project object and you configure it to auto-start, the process still auto-starts depending on your auto-start conditions.
  • Notifications are sent to users. However, you can only view them in
    Classic PPM
    .
  • The links in the email notifications point to
    Classic PPM
    and not to
    Clarity
    .
Studio
The following Studio functionality is not available in
Clarity
:
  • Custom objects, subobjects, and attributes (except custom attributes for the Project and Investment objects that are available through blueprints)
  • Display mapping outside of project status reports and project details:
    • The status colors on the project status reports and the project tiles (for example, green for On Track or red for At Risk) are based on the display mapping configuration for the Overall Status attribute of the Status Report object.
    • If the project blueprint includes attributes that have display mappings set up in
      Classic PPM
      , then stoplights with hover text appear for those attributes in the project details. Display mapping is not available for boolean attribute types.

Resource management
The following resource management attributes are only available in
Clarity
:
  • Forecast Rate at the resource or role level. The new field allows you to define the default forecast hourly rate for a resource. The resource manager can see this field in the resource details on the Resources to Investments view. With Resource - Edit rights, the resource manager can edit this value for a resource. The value impacts the data in the Forecast column on the view.  You can also update the forecast hourly rate value for a resource using the Resource XOG object.
    To define a default forecast hourly rate for a role in the role details, update the value on the role using the Resource XOG. The value is not available on the new or
    Classic PPM
    UI.
  • Forecast Rate at the allocation level. The new field is available on the Team object to define an investment-specific forecast hourly rate for a resource or role. The resource manager can see this field in the investment team allocation details on the Investments to Resources view.  With the appropriate booking rights on the resource and view or edit rights on the investment, the resource manager can edit this value. The value impacts the data in the Forecast column on the view.
  • Resource Manager. The new field is available on the team to define a requested resource manager. The resource manager can see this field in the investment team allocation details on the Requests view. This field is used for labor roles as a means to identify the resource manager that should fulfill the staffing request.
The following object attributes are not visible in
Classic PPM
Studio:
  • Forecast Rate on the Resource object
  • Forecast Rate on the Team object
  • Resource Manager on the Team object
Partitions
Setting partitions is not available. If you use partitions, the default partition that is defined under Account Settings is used when creating project and tasks.
The following lookup values that are defined in
Classic PPM
are visible in
Clarity
:
  • Lookup values that are directly associated with the System partition
  • Lookup values that are associated with a different partition with the partition association mode set to include ancestors. The include ancestors mode exposes the values to the System partition.

Lookups
To increase the number of results in the auto-suggest for lookup fields in
Clarity
, increase the value in the
Number of displayed suggestions
field. This field appears under the Auto-Suggest tab for a lookup in

Auto-numbered Attributes
All auto-numbered fields are auto-populated only after a successful save.

Timesheet Configuration
  • Timesheet columns are based on the configuration in
    Classic PPM
    under Administration, Project Management, Timesheet Options.
  • To get the best and most effective display of your timesheets grids, select  the following timesheet columns in the listed order in
    Classic PPM
    :
    • Description
    • Code field (optional)
    • Code field (optional)
    • Daily Actuals
    • Total
    • ETC
  • The list of available columns for selection in the Default Content and Layout section are reduced.
  • The following fields remain available, but do not have any effect on the new timesheet layout:

Code fields refer to the Charge Code, Input Type code, User Value 1, and User Value 2 attributes. You can configure up to two Code fields to appear on timesheets.

Staffing (Resource Management) and Project Staff Setup
Complete the following setup in
Classic PPM
for resource managers, project managers, project coordinators, and team members. The setup allows these users to work in the new resource management pages under Staffing and the new project-specific Staff page:
  • Define a default entity with fiscal time periods for use by the telescope calendar. For step-by-step instructions, see Video: Setting Up Resource Allocation Periods.
    • The resource management views use the fiscal time periods to display allocation data.
    • There is no limit to the range of time periods that you can define.
    • The telescope calendar displays a total of 60 time periods. You can navigate backward or forward in the time periods in the telescope calendar.
    • You are only limited by the fiscal time periods that you have
      not
      defined in the default entity.
  • Activate and run the following jobs (for upgrade customers only). For step-by-step instructions, see Video: Setting Up Resource Management Views.
    • Convert Mixed Booking Status
    • Populate Resource Management Curves
  • Grant appropriate booking rights to users based on their roles. Refer to the respective roles sections in this article for the required access rights. For example, for the required access rights for project managers, see the
    Project Manager
    section.
  • Define a standard base calendar. See How to Configure Calendars, Shifts, and Work Days.
  • Set up a default system currency. See Set Up Currencies and Foreign Exchange Rates.

Stock configuration of the internal, instant time-slicing of the allocation and assignment TSV views have not changed. They are as follows:
  • Total of 28 days, starting 7 days prior to today
  • Total of 16 weeks, starting 2 weeks prior to current week
  • Total of 36 months, starting 12 months prior to current month
Project Staff
Verify that the following attributes on the Team object have a default value defined in
Classic PPM
.  If a default values is not defined for these attributes, users are unable to edit the team records from a project in
Clarity
.

The Request Status attribute is not visible in
Clarity
as Requisitions are not supported.

Conversation Notifications
Notifications appear in
Clarity
when users @mention other users in a conversation.
  • You can set up how you receive notifications about conversations on the Notifications page.
  • You can modify the two notification templates for conversations. See Configure Notifications and Notification Templates.
  • You can delete all the conversation notifications for all the users. See

Blueprint Configuration
As an application owner or content administrator, configure the following types of blueprints:
  • Project blueprints to determine what project properties appear for a specific business unit such as Marketing or IT.
  • Custom investment type blueprints to configure the layouts for different types of investments to reflect your organizational goals.
Blueprints allow the following configurations:
  • Create custom blueprints by copying the standard project or standard custom investment blueprint or any other user-defined blueprint
  • Designate a default blueprint so that if you have not configured a blueprint, the system can use the attributes and section layout from the default blueprint.
  • Associate project templates to project blueprints. Custom investment blueprints are not associated to templates.
  • Edit a user-defined blueprint to change the layout details (fields, visuals, and modules). For custom investment blueprints, you can only configure the details view.
  • Publish the configured blueprint to make the changes available to templates, projects, and custom investments
The following attribute data types are not available for blueprint configuration:
  • URL

Teams
As an administrator, create teams with defined allocation for adaptive people planning. See
Clarity
: Configure Teams
.
  • Project managers can add the configured teams to their projects through the project Staff tab or the Staffing feature. Soft or hard booking rights are required.
  • Project managers can allocate the configured teams to project tasks. The Resource - View access right is required.
  • Project managers can remove one resource or role at a time. To remove resources or roles in bulk, use
    Classic PPM
    .
  • Users can populate cost plans based on team allocations or assignments.
  • Users can enter time for a team. Time entry and approval rights are required.
  • Users can replace teams with other staff members.
  • You cannot create teams in
    Classic PPM
    ; however, after you create a defined team in
    Clarity
    , it appears in
    Classic PPM
    as a new resource on the Resource List page under Home.
  • You can assign specific rights for licensed users to access the team as a resource throughout the application. A user does not need access rights to the people on the team; only to the team resource.
  • You can specify the general and financial properties for the team resource just like any other labor resource.
  • Users with the appropriate access rights can XOG in or XOG out team records as staff members on a project or a non-project investment.

Access Rights for Project Managers
To access the new project management pages, the project manager requires the following access rights assigned to them in
Classic PPM
:
  • Project - Create from Template (Global) or Project - Create
  • Project - View (Instance) to the templates that they can access to create projects
  • Project Management - Navigate
  • Project Management - Tiles Navigate
  • Projects - Navigate
  • Resource - Soft Book - All (Global) 
    We recommend the
    Resource - Soft Book - All
    right because it allows the project manager to staff any active resources and roles to the project team. You can use the
    Resource - Soft Book
    rights at the instance or OBS level
    but this practice can reduce the performance of the Staffing portlets
    . Verify that you explicitly assign soft book rights for all of the resources and roles to the project manager ahead of time. Otherwise, you  encounter errors when creating the project and populating the project team.
  • Status Report - Create (Global)
  • Status Report - Edit - All (Global)
The user who creates the project is automatically granted the Project - Manager (Auto) access right.
To allow a project manager to create a project using a template that contains financial plans, and to copy the plans to
Classic PPM
project pages, assign the following access rights:
  • Cost Plan - Edit
  • Benefit Plan - Edit
  • Budget Plan - Edit
To allow a project manager to edit financial fields such as Cost Type, Financial Status, and Capitalization %, assign the Project - Edit Financial access right at the instance or OBS level.

Auto-numbering for the Investment ID attribute on the Project object must be enabled in
Classic PPM
to create projects in
Clarity
. If you try to create a project without enabling auto-numbering, an error message appears. See

Project Visuals
The system administrator can configure the following visuals in blueprints to display as guages on project tiles. The project manager sees a maximum of three visuals on the project tile based on the associated blueprint configuration.

Roles
  • You can add labor roles

    using the Staffing capability or the project Staff tab.
  • You can perform role replacements using the Staffing capability or the project Staff tab.
  • If you have a project template where roles are assigned to the team, and you  create a project from this template in
    Clarity
    , only the labor roles appear in the project Staff tab. Any non-labor resources and roles are only visible in the
    Classic PPM
    project team page.
  • If you have a project template where roles are assigned to the tasks, and you create a project from this template in
    Clarity
    , the roles are still assigned to the tasks in the new project. You can replace the roles with named resources using the Staffing functionality.
You can add and manage both labor and non-labor roles.
Tasks and Assignments
  • Project managers and team members can create, update, and delete tasks, milestones, and phases.
  • Project managers and team members can add existing staffed resources, roles, and teams to a task.
  • Project managers can assign non-staff members to tasks provided the following conditions apply:
    • Assignment Pool setting for the project is set to Resource Pool in
      Classic PPM
      .
    • The project manager has hard or soft booking rights for the resources, roles, or teams not already on the project.
  • The full functionality is only available for a two-level task hierarchy; phases which contain tasks. For a task hierarchy with more than two levels, the task list displays but drag-and-drop is disabled. Also, you can only update the leaf level tasks. This is only applicable to the task List View, not the Board View.
    You can drag-and-drop the tasks anywhere in the hierarchy. You can also drag-and-drop collapsed phases.
  • If the project administration setting
    Allow Effort Task Creation
    is selected in
    Classic PPM
    , effort tasks are visible in the task list in
    Clarity
    .
  • Only two task statuses (Open and Completed) are supported. The task status of Not Started and Started that are set in
    Classic PPM
    are considered as Open in
    Clarity
    .
  • You can create a project "To Do" for phases, tasks, or milestones.
    • Create up to 25 "To Do" records for each task, phase, or milestone.
    • There is no XOG support for To Do.
  • Setting the task status to Completed automatically sets the ETC to zero (0) and % Complete to 100 percent. You can edit the % Complete field value only if the % Complete Calculation field value is set to Manual.
Project to-do items are not visible in
Classic PPM
.
Task List View, Board View, and Grid View
  • Project managers, team members, and other users with project access can view and manage tasks in the List View, Board View, or Grid View.
  • When you assign resources to tasks in the List View or Board View, access rights are automatically granted to the assigned resources in
    Classic PPM
    .
  • The Board View allows users to arrange leaf level tasks into columns.
    • Phase tasks are not shown in the Board View.
    • You can create new tasks within a column.
    • You can insert, delete, or rename columns.
    • You can reorder a task within a column or move to another column.
The task board layout is not available in
Classic PPM
; however, administrators can configure tasks in a list or grid portlet on a page.
Gantt View and Schedulers
Gantt View and Schedulers is Not supported in
Clarity
.
No changes
  • Project managers, team members, and other users with project access can view the project plan in the Gantt view or an external scheduler such as Microsoft Projects or Workbench.
  • Users with project edit management access can edit the project plan within the Gantt view or the scheduler.
Project Status Reports (PDF or editable grid)
  • Users with project edit rights and status report create rights can create status reports.
  • Users with project edit rights and status report edit rights can edit status reports. They can also preview and publish status reports in PDF.
    The system displays the status report instance where the Report Status is Draft for the most recent Report Date.
  • When you publish a status report, it creates a new status report instance and populates its values from the latest prior published status report.
  • Team members can only view the status report under the Current tab. They can also view previously published status reports under the Reports tab. The Preview and Preview Current options are disabled for team members.
  • Clarity
    uses the PMO Accelerator Status Report sub object. Custom attributes that are added to the Status Report sub object are not visible in
    Clarity
    .
  • Users can configure a project blueprint to include the Project Status grid in their projects. You cannot generate a PDF status report from the grid but you can view and edit custom attributes.
No changes. The PDF status report is visible in
Classic PPM
. Marking the report status as Final does not generate a new status report. 
We do not recommend updating a status report instance in the
Classic PPM
and
Clarity
at the same time. The refreshing of values happens differently in the two interfaces. In
Clarity
, the whole page is not refreshed on every save. Only the impacted values are updated. If you make a change in Classic, it reflects in
Clarity
only when you navigate away from
Classic PPM
and come back to the project in
Clarity
. Alternately, you can refresh the browser to see this update.
Project Documents
  • By default, project managers and team members can view and edit (upload, download, delete, and add tags) all documents associated with their Project. Access to specific documents varies.
  • Non-team members with the Project Edit access right can view and edit all documents.
  • Non-team members with the Project View access rights can view and download documents.
  • The administrator determines project document settings in the governor properties file. For example, by default you can upload no more than five files with a maximum size of 20 MB. Your administrator can also determine the file types that you can upload.
  • Versioning is not supported in
    Clarity
    . If document versioning is required for your environment, use
    Classic PPM
    .

Project Links
  • Project managers and users with project edit rights can add and remove external hyperlinks for the project and can group the links into categories.
  • Team members and users with project view rights can view and access hyperlinks for the project.

Project Details
  • The Project DETAILS page is accessible as a tab.
  • With project edit rights, you can edit the project banner color.
  • The fields and section layout is based on the associated blueprint configuration.
  • Some project fields are not available for configuration using blueprints and hence you do not see them on the project details page. For the complete list, see

Risks, Issues, and Changes
  • To see the tabs with data, users need additional view rights for risks, issues, and changes along with project rights. See

    are renamed as "Changes" in
    Clarity

View risks, issues, or changes
  • To just view the risks, issues, and changes on the tabs in a project, user needs the following access rights:
    • Project - Risk, Issue, Change Request - View
    • Project view rights
  • With the view rights, users can see the risks, issues, and changes module icons on the project tiles if they are configured in the blueprint. When the user clicks an icon, they go to the first module that is configured in the blueprint for which they have view access rights. In case there is no such module, the user remains on the project tiles page.
  • The user cannot add, edit, or delete anything on the tabs with just the view access rights.
  • Users with the View and Create/Edit access rights can add and edit rows using the Add Row icon and the grid context menu. They cannot delete rows.
No changes. The grid context menu is not available.
Create and edit risks, issues, or changes
  • To add a row using the Add Row icon or the grid context menu, user needs the
    Project - Risk, Issue, Change Request - Create/Edit
    access right along with view rights to the project.
  • Users with only the
    Create/Edit
    right but without the Delete right cannot delete rows using the grid context menu.
  • Users with the Create/Edit and Delete rights can add, edit, or delete rows using the Add Row icon and the grid context menu
No changes. The grid context menu is not available.
Delete risks, issues, or changes
  • To delete a row using the grid context menu, user needs the
    Project - Risk, Issue, Change Request - Delete
    access right along with view rights to the project.
  • Users with only the Delete right but without the Create/Edit rights receive an error message when they click the Risks, Issues, or Changes tabs.
  • Users with the Delete and View rights but without the Create/Edit rights can only delete rows using the grid context menu. They cannot add rows.
No changes. The grid context menu is not available.
Even if the user has instance access right just to delete the risks, issues, or change requests for a particular project, the user does not see the Risks, Issues, or Change Requests tab.
OBS access rights
For users with access rights for one OBS, the selected OBS association mode is honored. For example, a user with access to the Sales department OBS with OBS association mode set to Unit Only, can view the Risks, Issues, and Changes tabs for all projects in the Sales department. The user also needs view access rights for all the projects in the department.

Project Staff
  • Define default allocation and allocation dates on the project Staff page.
  • Users with project edit access and booking rights to labor resources and roles can successfully add staff members (that is, resources, roles, and defined teams) to a project.
  • Project managers can either soft book or hard book staff members to a project depending on their booking rights.
  • When adding staff members to a project, the project manager can see all active resources and roles. However, if the project manager does not have the booking rights for a staff member, they cannot add the staff member to the project.

The Mixed Booking status is not supported in
Clarity
. If you have existing mixed allocations in
Classic PPM
, then these allocations appear with a Soft booking status on the project Staff page in

. However, no error message appears.

Timesheets: Review and Approval Access Rights
As a resource manager, you can review submitted timesheet details and either approve or return the timesheets for others. The options are available when you have the following timesheet approval access rights:

The default view shows a list of submitted timesheets for My Team or the active resources for which you are the resource manager. You have the access rights to approve the timesheets for My Team. You can filter and show the team members for which you can approve timesheets.

Timesheets: Approvals
As a timesheet approver, you can perform the following actions on timesheets in different statuses:
  • Open: Send reminders to the team members.
  • Submitted: Review detailed timesheets and approve or return the submitted timesheets to the team members.
  • Approved: Return the approved timesheets to the team members.
  • Posted: Create copies of the posted timesheets as adjustments. Team members can then update and resubmit the timesheets for processing.
  • Returned: Send reminders to the team members.
When there is an Adjustment timesheet, the adjustment appears on a separate row from the previously posted timesheet that is being adjusted. The timesheet approver can only view the details for a submitted adjustment timesheet. Past adjusted timesheet details are not available for viewing by the timesheet approver. The timesheet owner can view the details for all past adjusted timesheets.
Timesheet approvers can see a visual gauge indicating Total Hours booked over Total Hours of available work time. The visual gauge appears for each team member for which you have Timesheet Approval access rights.
A known issue exists where the Timesheet Review and Approval page only shows the time in hours (instead of days) even if your administrator has set up the time entry display unit as Days in

Access Rights  for Team Members
When a project manager adds staff members from the Conversations page using the STAFF panel or from the Tasks Board or List view, the following access rights are automatically assigned to the staff members:
  • Projects - Navigate (Global)
  • Project - View Tasks (Instance)
  • Project - Task Management (Instance)
    This right allows team members to add, edit, and delete task assignments.
  • Status Report - View - All (Global)
    This right allows team members to see all the status report instances for the project.
Automatic rights are not assigned to a staff member that is added through the replacement action. For example, if you have a role on the staff and you replace that role with a named resource, the rights are not automatically granted to the resource that is now on the team.
When you remove a staff member from a project, the instance rights that the system auto-assigned are removed. The global rights that were auto-assigned are not removed from the user because global rights can apply for other projects.
As a team member, before you can edit a Status Report, you need both
Project – Edit
and
Status Report – Edit
rights.
If you assign the team member to a project in
