View and Manage Timesheets From Grid Layout

The Timesheets grid lets you view the Grid-Filter-View (GFV) capabilities. The grid layout enables you to group, sort, filter, save views, and export to CSV. When you select a row in the grid, the Detailed Timesheet panel opens. In this release, the Resource ID is added to the Resource Manager and Resource filters in Timesheets. This filter is visible in My Timesheet and in Review and Approve tabs.

Prerequisites
Ensure that the following criteria are met:
  • To enter timesheets, ensure that at least
    one
    task or work item is associated with the resource.
  • The Open for Time Entry setting is checked and the Track Mode is set to PPM for all concerned resources.
  • You can navigate to the TIMESHEETS tab in the Timesheets workspace and view the timesheets grid, if you have the necessary access rights. If you do not have any of the following access rights, then the TIMESHEETS tab is visible but you will not be able to view any records after navigating to the tab. Ensure that the
    Resources
    object is assigned with the following access rights:
    • Timesheets – Navigate
    • Resource Enter Time
      -
      for self or any user
    • Resource Approve Time
      -
      for one or more users
    • Timesheet – Approve All
      global
    • Timesheet – Edit All
      global
    • Configure the necessary modules/tabs from the Timesheet Blueprint.
      Clarity
      : Configure Blueprints for Projects and Investments.
Show or Hide the Column Panel for MY TIMESHEET
You can choose to display or hide the column panel in the MY TIMESHEET tab.
Follow these steps:
  1. Log in to
    Classic PPM
    .
  2. Navigate to
    Administration
    ,
    Project Management
    ,
    Timesheet Options
    .
  3. Select the checkbox
    Allow End user column configuration
    . The column panel is visible in MY TIMESHEET.
  4. Alternatively, clear the checkbox
    Allow End user column configuration
    and the column panel is hidden from view. By default the checkbox is clear.
  5. Click
    Apply to All Resources
    .

If the

Classic PPM
you can configure the columns that appear in MY TIMESHEETS using the column panel in
Clarity
.
Follow these steps:
  1. Log in to

  3. Select the checkbox
    Allow End user column configuration

  4. Click

  6. Click on any user timesheet and click the COLUMNS button to view the column panel. All the columns are displayed in the column panel. Select the columns from the column panel to display them in MY TIMESHEET page. The columns selected are visible to that specific login.

If the

  7. All the columns are displayed based on the columns you have selected in
    Classic PPM

Display Effort Gauge and Project Time Gauge
You can display or hide the Effort Gauge and Project Time Gauge in
Clarity
from
Classic PPM
.
Follow these steps:
  1. Log in to
    Classic PPM
    .
  2. Navigate to Administration, Project Management, Timesheet Options.
  3. From the Modern UX  Options (applies to Modern UX Timesheets only) section select the following checkboxes:
    • Display Effort Gauge
    • Display Project Time Gauge
  4. Click Apply to All Resources.
View Timesheets in Grid Layout
You can view timesheets in a grid layout.
Example:
Derrick - a resource manager, can view all the timesheets that he owns and can view the timesheets of all the resources that he needs to review for approval in a configurable grid. Derrick can filter the timesheets that he is looking for. He can configure the columns and see the fields of his choice giving him the ability to save the configuration as a Saved View so that he and other users can use the same view later. Derrick can also view whether resources have received notes and the number of notes they have received.
The Details panel provides you with the following capabilities:
  • Timesheet tab
  • Notes tab
  • Details
Follow these steps:
  1. Click Timesheets and then click the Timesheets tab.
  2. View the timesheets from the grid. Based on the default content and the columns you have enabled in
    Classic PPM
    you can select the columns to view in the grid. The grid layout lets you filter, sort, group by column, and save views. For more information about grid layout see the topic
    Edit Data in Grids
    in Common Components.
    You cannot create new row item or edit the timesheet data from the grid layout.
  3. Select a row for the
    Details
    panel button to appear.
  4. Click the
    Details
    button. The Details panel opens and displays the timesheet details for the resource under the
    Timesheet
    tab. The panel also contains GO TO TIMESHEET and REVIEW buttons. The GO TO TIMESHEET button appears for every timesheet. The REVIEW button appears for all submitted timesheets.
  5. Click
    GO TO TIMESHEET
    to view the respective timesheet in
    MY TIMESHEET
    tab.
  6. Click
    REVIEW
    to view the timesheet details of the resource. The RESOURCE TIMESHEET -  DETAIL page appears. You can view the timesheet details of the resource.
    1. You can
      Approve
      or
      Return
      the timesheet from this page as well. 
      Note:
      Based on the
      Allow End user column configuration
      settings in
      Classic PPM
      , the COLUMN button is visible.
    2. Click
      Close
      once done.
  7. Click the
    Notes
    tab to add notes for the resource. A check mark appears in the Notes column for the selected resource in the grid indicating that notes exist for the resource.
  8. Select
    Number of Notes
    from the Column picker to view the count of notes received by each resource in the grid.
  9. Click the
    Details
    tab to view timesheet details. For more information about how to use the CONFIGURE button, see Common Components.
View All Timesheets of All Statuses
In this release you can view all open timesheets that are created based on the time period that is assigned for the tasks. You will be able to see all the un-submitted timesheets for which you have the following instance rights:
  • Resource Enter Time
  • Resource Approve Time instance rights
  • Timesheet – approve all and Timesheet – Edit all
Example:
Mike - a project contributor wants to plan his work for the entire month of July. He needs to get a view of the all the open timesheets for July. Doing so helps Mike estimate and plan his workload for the forthcoming weeks and collaborate better with his team. Mike can view all his open timesheets and update them as needed. The following procedure helps Mike to view his open timesheets and enter time for the respective weeks accordingly.
Follow these steps:
  1. Navigate to
    Timesheets
    , and click
    TIMESHEETS
    . Automatically all timesheets, irrespective of the timesheet status, are listed in the timesheet grid. By default timesheets are sorted by Resource Name and Time Period Start Date.
  2. Select a row, click the
    Details
    panel and click
    Go To Timesheet
    .
  3. The
    MY TIMESHEET
    page opens.
  4. Click
    Create Timesheet
    to populate the timesheet for that time period.
  5. Enter the hours for that time period and click
    SUBMIT
Resource OBS Filter for Timesheet
The Resource OBS filter is introduced in Timesheet grid in this release of Clarity.
Example:
Derrick the resource manager wants to view all the timesheets that he owns and the timesheets that he needs to review for approval from the timesheet grid. With the Resource OBS filter for Timesheets, Derrick can now filter timesheets using Resource OBS, locate resources from specific locations of his organization, and save his current search as a Saved View so that others in his team can use the same view later.
The resource OBS is only available in the filters.
Employment Type Lookup Attribute in Timesheet Grid
Derrick is a resource manager. He wants to quickly review his team’s timesheets basis their employment status whether they are contractual or are on his organizations payroll. The employment type attribute is now available for Derrick to be able to filter resources based on whether they are employees or contractor. Derrick can also select Employment Type from the Details panel to configure the column in the Timesheet grid. Derrick can now do the following:
  • View Employment Type lookup as an attribute in Timesheet Grid.
  • Filter data using the Employment Type attribute.
  • Multi-select the values in Employment Type lookup and filter data.
  • View Employment Type in Timesheet Grid and the Details panel.
Review, Approve and Return Submitted Timesheets
As a timesheet approver with instance rights for timesheet approval, you are notified when users submit their timesheets. You review and approve the time that your team members record against tasks. When necessary, return a timesheet for corrections. The team member receives a notification about the returned timesheet. For example, the timesheet shows incorrect codes or hours applied to the wrong tasks. The team member receives a notification about the returned timesheet and can make corrections and submit the timesheet again. You can also review and approve timesheets for team members of other resource managers provided you have the timesheet approval rights for them. For example, if a resource manager is going on vacation, they can ask you to review and approve the timesheets for their team members.
  • Resource Manager:
    When you first login as a resource manager, you only see, by default, the submitted timesheets for your direct reports (or My Team) for whom you have timesheet approval access rights. To review timesheets in other states (or status) and to display all your direct reports, click SHOW ALL next to Members. To review and filter timesheets submitted to other resource managers, click Resource Manager, and select the resource manager.
  • Project Manager:
    If you are a project manager with timesheet approval access rights, you might not see any submitted timesheets if you do not have any team members that report directly to you. Under Showing, click the drop-down list next to My Team and select ALL to display your direct reports and all other resources for whom you have timesheet approval rights.
The filtering that you apply to review timesheets continues across the different timesheet periods. Once you log out, the filtering is reset to the default behaviour.

Review Submitted Timesheets
Click a team member's name to view a context-sensitive panel displaying the timesheet for the team member. For submitted timesheets, a Review option is available. Use the option to review the detailed timesheet for the team member before approving or returning the timesheet. Use the navigation arrows at the top of the detailed timesheet window to continue reviewing additional timesheets submitted by other team members.

Approve or Reject Submitted Timesheets from the Timesheets tab
If you have approver rights, use the Bulk Actions to approve or return multiple timesheets at once. This is an efficient way when you’ve multiple project contributors submitting timesheets.
Follow these steps:
  1. From the main menu, click
    Timesheets
    .
  2. Go to
    Timesheets
    tab.
  3. From the timesheets layout, select the Grid View.
  4. From the Column Picker, select
    Time Period is Open
    .
    Classic PPM automatically filters out Closed Time Reporting Periods and there is no way to review Timesheets in a Closed Period. In Clarity, the functionality has been enhanced to show both Open and Closed Timesheets with the ability to filter for Open or Closed Periods. A new field 'Time Period is Open' can be used to filter for Open (=Yes) or Closed (=No) Time Periods.
  5. Apply filters and select the filter options as required.
    1. For example, set the Status as Submitted to see all the timesheets which are in the submitted state.
  6. Select the timesheets that you want to approve or return.
  7. You can use the bulk actions to click
    Approve
    or
    Return
    .
    The bulk actions appear only if you select the timesheets with
    Submitted
    or
    Approved
    status. You cannot use the context menu to approve multiple timesheets.
