Analyze Resource Allocation and Staffing by Using the Staffing Grid

The new Staffing page leverages the power of the cross-object grid in Clarity to help you manage resource allocation for all types of investments in Clarity. You need to have the Staffing - Navigate access right to view this page.

The cross-object grid displays all your investments (projects, ideas, and custom investments) in Clarity. You can use the grid to review attributes that are common across all investments or specific to individual objects and investments. Let’s consider an example where you want to view allocation data for multiple projects, ideas, and custom investments. In such as scenario, the following attributes are available in the Staffing Grid:

  • Attributes such as Name, Investment ID, and Type, shared across all these investment types, are displayed under the Common Investment section.
  • Attributes such as Resource, Role, Booking Status, and Allocation, which are crucial to resourcing all investments, are available in the Staffing section.
  • Attributes such as Availability Rate and Primary Role associated with the Resource object are available in the Resource section.
  • Attributes specific to Custom Investments, Ideas, and Projects are available in their respective sections.
  • TSV attributes such as Actuals, Allocations, and ETC are available in the Totals section.
The existing Staffing page has been renamed as Staffing Plan. All existing users who have access to this page will automatically be granted the Staffing Plan - Navigate access right associated with this page.

Leverage the Common Grid Capabilities
Some of the key actions you can perform by using the grid are:
  • Add attributes to the grid by using the column panel
    The Column Panel groups attributes under their relevant object types. All the attributes that are common across investment types are available under Common Investment. Attributes that are specific to various investments are available under the respective investments. You can select various attributes to add them to the grid. To learn more about using the column panel in the grid, see Common Components.
  • View more information by using the DETAILS panel
    You can view more information about a particular staffing record by using the DETAILS panel. The panel is available as a two-column layout, and you can resize it to take up 75% of the screen. The Details layout allows you to include two fields per row. You can horizontally drag any field to occupy one or both columns.
    Clarity
    will append the attribute label’s investment type when you add attributes associated with specific investments in the DETAILS panel. To learn more about using the DETAILS panel in the grid, see Common Components.
  • Analyze investments by using the Filter and Search options
    You can use the Search and the Filter options to identify various investments based on your requirements. To learn more about using the Filter and Search options, see Common Components.
  • Personalize the grid and save your view
    Clarity
    allows you to save and modify multiple views that help you achieve your business goals. Some of the key actions you can perform are:
    • Save an existing configuration in the grid
    • Update existing views, by using the Quick Save functionality
    • Access views saved by other users if they have shared it
    • Mark relevant views as favorites so that you can access them easily
    • Select default views
  • Collapse Related Rows by Grouping Attributes
    You can collapse related rows by using the Group By option. The grid allows the grouping of data based on any attribute. The attribute columns can be moved around within their own investment type. Example: You can group all the investments by "Investment Name" to see all the resource allocations associated with each investment.
  • Use the Bulk Edit and Date Shifting Capability
    Linked
    You can edit multiple records on the Grid layout. When you select multiple records and click the Edit button, a bulk edit window will be displayed. The window includes all the fields that were displayed in the grid. You can update the relevant fields and click Save to commit your changes. You can now use the Relative Date Shifting capability to use the + or - option to shift the values in the date field. The Bulk Edit capability does not work when you use the Group By mode.
  • Export Data to CSV
    You can export the common grid data to a CSV file. If your view includes 500 or fewer rows, your new CSV export file is produced immediately. If your view has more than 500 rows, you will see a notification and can download the CSV file in a few minutes. To learn more about using the Export to CSV option, see Common Components.
Setup View Options for the Staffing Page
You can adjust your view of the Staffing grid to show fiscal or calendar per-period metrics (also known as time-scaled values, or TSVs). 
Follow these steps
:
  1. Open the Resources Page.
  2. Click
    View Options
    .
  3. Set the PER-PERIOD METRICS field to a time-scaled series of time-sliced data for allocations. You can select from the following fields available out-of-the-box:
    • Actuals: Displays the Per-Period - Actual Units aggregated from assignments for the team member.
    • ETC: Displays the Per-Period - Estimate Units aggregated from assignments for the team member.
    • Total Usage: Displays the per-period TSV Total Usage, which is calculated by combining the ETC and Actuals (ETC+Actuals)
    • Remaining Allocation: Displays the per-period TSV Remaining Allocation Units, which is calculated by subtracting Total Usage from Allocation for this investment (Allocation - Total Usage)
    • Remaining Availablity: Displays the per-period TSV Remaining Availability, which is calculated by subtracting the resources aggerated allocations across investments from the resource availability. A negative value indicates that the resource is over-allocated.
    • Allocation: Displays the per-period TSV for Planned or Soft allocation
    • Hard Allocation: Displays the per-period TSV for Hard allocation
  4. In the PERIODS field, select a unit of time (weeks, months, quarters, years).
  5. Define the START PERIOD and END PERIOD. The application adjusts the time periods based on the value that you selected for periods.
  6. Define if you want to see Sum of Periods or Grand Totals in the Totals column. If you select Grand Totals, Clarity will continue to display the Totals for the entire duration of your investment even when you cycle through various periods by using the widget.
    • Sum of Period displays the Total (e.g., allocation) for the number of periods in the grid
      • Example – If an Investment has a duration of 12 months; the grid is configured to display 6 months; Sum of Periods is selected – the Totals column will sum up the (e.g., allocation) 6 months displayed in the grid.
      • With Sum of Periods selected, the Totals field is editable.
    • Grand Total displays the Total (e.g., allocation) for the duration of the Investment regardless of how many periods are displayed in the grid
      • Example – If an Investment has a duration of 12 months; the grid is configured display 6 months; Grand Totals is selected – the Totals column will sum up the (e.g., allocation) for the 12 months of the investment
      • With Grand Total selected, the Totals field is not editable with periods in view
  7. Click X Close to close the View Options panel. The Staff grid applies your settings and shows staffing allocations that are spread across the time periods.
  8. You will also see a scrolling per-period metrics widget on the Staffing module. You can click front and back arrows on the widget to quickly cycle through the data for various periods. Your Start Period and End Period settings will update the widget and as you cycle through periods in your widget, the Start Period and End Period will also be updated.
  9. Click
    Show Filter
    and in the Add Filter drop-down list select the
    Finish is After
    and
    Start is Before
    attributes to display investments that fall in the relevant time period selected by you.
If you do not use the Finish is After and Start is Before filters, you will see old investments, which will display zeros for the monthly allocations for all periods in view.
Setting Up the Investment to Resource View

You can set up the Investment to Resource view to see investments at the parent level with their requested resource and role allocations at the child level. The view is also referred to as the Investments view. You can use the View Options, Group By, Filters, and Save Views capability to set up this view.
Follow these steps:
  1. Log into Clarity and open the
    Staffing
    page.
  2. Click
    View Options
    and select the relevant
    Per-Period Metrics
    ,
    Periods
    ,
    Start Period
    , and
    End Period
    .
  3. In the View Options page, select Sum of Periods or Grand Totals on the
    View Options
    page.
  4. Drag the
    Common Investment: Name
    field and drop it in the
    Group By
    area to group the records by Investment Name.
  5. Click
    Show Filter
    and in the Add Filter drop-down list, select the following options:
    1. Staffing: Resource Type = Labor
    2. Staffing: Staff Type = Resource & Team
    3. Common Investment: Finish 'Is After' {date}’
    4. ‘Common Investment: Start ‘Is Before' {date}
    5. Investment Types: Project, Ideas, and Custom Investments
    6. Resource Types: All, Labor, Equipment, Expenses, Material
  6. Use the Save button to save your view.
  7. If you have the relevant access rights, you can update the allocations for various resources.
Setting Up the Resource to Investment View

The Resources to Investments view lists resources at the parent level with their investment allocations at the child level. The view is also referred to as the Resources view. You can use the View Options, Group By, Filters, and Save Views capability to set up this view.
Follow these steps:

    and select the relevant

  6. Use the Save button to save your view.
  7. If you have the relevant access rights, you can update the allocations for various resources.
Setting Up the Role to Resource View

The Roles to Resource view lists staffing requests that are grouped by roles. You can use the View Options, Group By, Filters, and Save Views capability to set up this view.
Follow these steps:
  1. Log into Clarity and open the
    Staffing
    page.
  2. Click
    View Options
    and select the relevant
    Per-Period Metrics
    ,
    Periods
    ,
    Start Period
    , and
    End Period
    .
  3. In the View Options page, select Sum of Periods or Grand Totals on the

  4. Drag the
    Staffing: Role
    field and drop it in the
    Group By
    area to group the records by role.
  5. Click Show Filter and in the Add Filter drop-down list, select the following options:

  6. Use the Save button to save your view.
  7. If you have the relevant access rights, you can update the allocations for various resources.
Additional Features on Staffing Page
Some of the key features available on the Staffing page and missing from the Staffing Plan page are:
  • You can configure the Staffing page to show ETCs and Actuals and get greater visibility into the allocation and availability of resources. This capability is not available on the Staffing Plan page.
  • You can edit the allocation associated with investments by using the Staffing page. This capability is not available on the Staffing Plan page.
  • You can see all the investments available to you based on your permissions. The Staffing Plan page only shows investments that fall within the telescope period configured by you.
Differences between Staffing Plan and Staffing Page
Some of the key features available on the Staffing Plan page and missing from the Staffing page in this release are:
  • You can add staff to investments or associated an investment with a resource by using the Add Icon on the Staffing Plan page. This capability is not available on the Staffing page in the current release.
  • You can quickly know if a resource is over or under-allocated by looking at the color associated with each row on the Staffing Plan page. This capability is not available on the Staffing page in the current release.
  • You could see Non-project investment objects on NPIOs on the Staffing Plan page. These objects are not available on the Staffing page. You can only see Projects, Ideas, and Custom Investments on the Staffing page.
  • You could see investments that did not have any resources, roles, or teams assigned to them on the Staffing Plan page. You will not see such investments on the new Staffing page.
  • If you have resources that are not allocated to any investment, you will see them on the Staffing Plan page but not on the Staffing page.
  • The Forecast column available on the Staffing Plan page is not available on the Staffing page.
