Installing and using the IDM Indexer Tools

You use the IDM Indexer Tools to create and upload Indexed Document Profiles (in the form of preindex files) to
ICE Cloud Console
data profiles.
ICE Cloud Console
generates indexed document match files from the preindex files, and makes them available on the
ICE Cloud Console
. You create conditions in your policies that reference these profiles. These policy conditions can define whether an inspected file must exactly match an indexed file in the profile, or the inspected email message or file contains a percentage threshold of content in common with indexed content.
The IDM Indexer Tools include two utilities:
  • Remote IDM Indexer: The Remote IDM Indexer is a standalone tool that lets you index your confidential documents and files locally on the systems where these files are stored. Using the Remote IDM Indexer frees you from having to collect and upload all the files you want to protect to
    ICE Cloud Console
    for indexing. The Remote IDM Indexer catalogs your document sources, and generates a preindex file (*.prdx2) that contains only the content signatures used to identify the sources; it contains no source content. The preindex file is encrypted and password protected. You upload the preindex file to
    ICE Cloud Console
    for final index generation and deployment.
    You configure the Remote IDM Indexer from the IDM Indexer Bridge, using a command line interface (CLI) or a properties file. On Windows, you can use the graphical user interface (GUI) edition of the tool to configure it. You can integrate the tool with external utilities such as Windows Task Scheduler or a cronjob to schedule indexing. In addition, you can incrementally index a data source by specifying an existing *.prdx2 file when you run the tool.
    Install the Remote IDM Indexer on any computer that has access to the source documents you want to index. You can choose to install multiple Remote IDM Indexers, depending upon your network configuration.
    Rather than manage all of the Remote IDM Indexers yourself, you can provide the Remote IDM Indexer tool to the individuals that own the confidential documents and files that you want to protect. These data owners can install and run the Remote IDM Indexer themselves, and deliver the resulting *.prdx2 files to the IDM Indexer Bridge.
  • IDM Indexer Bridge: The IDM Indexer Bridge uploads the preindex file to the
    ICE Cloud Console
    . Once the preindex file is uploaded, it can be associated with a data profile in the
    ICE Cloud Console
    .
    Install this utility on any computer that meets the system requirements and that has access to both the preindex files and the Internet. You only need to install one IDM Indexer Bridge.
You can use the IDM Indexer Tools in Linux-based environments or Windows-based environments. The following table provides an overview of steps for installing and using the tools:

Requirements for using the IDM Indexer Tools
The IDM Indexer Tools must be installed on a Linux computer or a Windows computer, running the following software:

The computer hosting the IDM Indexer Bridge must have Internet access.
Before using the IDM Indexer Tools
Refer to the following before using the IDM Indexer Tools:
  • The IDM Indexer Tools do not make copies of your document sources. The Remote IDM Indexer catalogs the document sources, and generates an encrypted, password-protected preindex file (*.prdx2) of the content signatures used to identify the sources. The IDM Indexer Bridge securely uploads the preindex file to

  • The IDM Indexer Tools software download is unique to each
    ICE Cloud Console
    customer, and should not be re-used, shared, or modified except as described in these procedures.
  • Your security policies may require that your document source files do not reside on the computers that have access to other networks or the Internet. In this case, you need to move the preindex files generated by the Remote IDM Indexers to the computer that hosts the IDM Indexer Bridge before you can upload them to
    ICE Cloud Console
    .
  • Based on your organizational structure, you may require more than one person to complete these procedures. For example, the person with access to the
    ICE Cloud Console
    to download the tool may not have the required permissions to install the tool. Review these procedures first, and make sure that the appropriate personnel are available during this installation.
